Duties

• To perform day to day accounting and administration functions to ensure proper internal controls, compliance to local government/ company policies & requirements, implementing efficient finance and accounting procedures for the country. In addition, this role is required to provide accurate status reports to organization management.
• Performs daily accounting (AR, AP, cargo, payroll, reconciliation, budgeting) and administration (statutory reporting, treasury/cash forecasting, facility management) functions in country
• Coordinate/oversee processing of internal and external customer requests and inquires
• Monitor production performance to identify problem areas and adherence to schedules; takes corrective action where necessary to minimize losses or enhance profitability/efficiency
• Performs monthly closing within required deadline.

Required

• Diploma in Finance or Accounting
• Two years in Retail/Hospitality or related experience required

• Bilingual in English and Mandarin to liaise with mandarin speaking counterparts (written and oral)

1. Processes staff payroll accurately and in a timely manner;

2. Ensures that proper documentation is maintained to support payroll processing for approval and audit checks;

3. Ensures the timely update and accuracy of staff personal, compensation and other information in the system;

4. Prepares Payroll report for submission to Accounts Department in a timely manner;

5. Carries out monthly submission of CPF contributions before stipulated datelines;

6. Carries out reconciliation of salaries;

7. Follows up on government claims for childcare leave, maternity leave, paternity leave, foreign worker levy fee waiver and reservist claims;

8. Assists in project staff deployment ensuring the effective usage of resources;

9. Follows up on issuance of staff letters (Letters/employment certificates/letters of appointments/updates new staff listing/resignation listing/phone listing);

10. Maintains staff personal files;

11. Assists in following up of staff annual appraisal report submissions and updating;

12. Assists in processing staff insurance claims (Submission/file/follow-up); Monitors the leave applications of staff;

13. Carries out other administrative work as and when required by management

· Plan, organize and carried out project management activities to ensure that assigned projects are executed in a smooth and effective manner to achieve and exceed the cost, quality, timelines and customer satisfaction objectives;

· Ensure that safety procedures are incorporated in all project management activities and takes initiatives to promote a safety working culture;

· Review contract documentation in conjunction with B.Q. and material specifications;

· Ensure project performance through close supervision, site checks, close monitoring of site progress and swift resolution of any quality and work schedule issues;

· Ensure that shop drawings are completed and submissions to the authorities are carried out in a timely manner with Drafting Department;

· Attend/Chair project kick-off meetings, daily meetings and project closure meetings with clients, consultants and other parties;

· Update and summarizes all project development performance in monthly management meetings;

· Liaise with suppliers and sub-contractors on contractual matters;

· Ensures timely response to consultants’ and all other requests in a pro-active and timely manner;

· Provides effective leadership to team members through coaching, mentoring and motivating on an ongoing basis and ensuring that good team work and esprit-de-corps exist in the Project team;

· Ensures that all project documentation are maintained effectively including email communication;

· Sets key performance indicators for project team members, tracking, monitoring and assessing their performance on an ongoing basis;

· Any other duties as may be assigned.
