Job Description:

ADMINSTRATIVE FUNCTIONS

• Prepare all necessary work or purchase orders in the course of his duties to maintain and manage the property and as and when directed by the CM.
• Prepare and submit maintenance reports to the CM
• Attend to inquiries, complaints, reports and correspondence relating to the administration of the Corporation, its property and Subsidiary Proprietors.
• Evaluate contractors’ performance and to submit evaluation reports to the CM.
• Enforce and administer the service contracts and to act upon the terms and conditions or agreements made under these contracts.
• Monitor expiry of licenses, contracts and any other form of documentations, and to advise the CM of such expiry as and when necessary.
• Manage and maintain inventory of all equipment and supplies used for the operations of the property.

FINANCIAL FUNCTIONS

• Collate and prepare all incoming invoices with supporting work or purchase orders and submit to the CM for their recommendation for payment.
• Keep proper records of all work and purchase orders.

MANAGEMENT AND MAINTENANCE FUNCTIONS

• Supervise all contracted works.
• Implement preventive and corrective maintenance plans.
• Plan, organize and execute periodic checks on services as well as contracts.
• Execute directions given by CM with regard to the operations of the property.
• Any other duties assigned by the CM.

Job Requirements:

• Candidate must possess at least a diploma in Estate Management, Building Services Engineering or equivalent.
• 2-3 years with Diploma holders preferred. Those without diploma but with 3-4 years Property management experience could apply for the job.
• Minimum 4-5 years of MCST experience for Diploma holders and have experience in handling more than 1000 units.
• Good knowledge of BMSM Act or has relevant BMSM Act course certification.

Description

• Oversee the transition of projects from the tender or sales team to the execution phase.
• Define PEPL’s Scope of Work and create a project schedule, including document and material submission lists, material lead times, and timelines for installation and testing.
• Develop submission lists for documents and materials, and prepare the necessary submissions.
• Design and review drawings and documents to ensure timely submissions to the customer.
• Track submissions and follow up with customers to secure prompt approvals for documents and materials.
• Prepare Purchase Requisitions to procure essential project materials on time and coordinate with the purchasing team, subcontractors, and suppliers.
• Plan site manpower requirements alongside the Superintendent.
• Coordinate with the Superintendent, Construction Manager, and Site Supervisor on site activities, including installation, testing, commissioning, and progress reporting.
• Regularly update the project schedule and prepare weekly or monthly progress reports for both internal stakeholders and customers.
• Participate in customer meetings, proactively manage expectations, and prepare agendas, minutes, and necessary submissions.
• Control project costs within the allocated budget.
• Maintain the Change Order Log, manage scope changes, and prepare RFIs or VORs, securing Variation Orders from customers before implementing changes.
• Prepare and follow up on Progress Claims, and maintain a Progress Claim Summary report.
• Escalate any challenges or issues to the Project Manager and management for timely resolution.
• Collaborate with customers, consultants, owners, third parties, suppliers, and internal team members to ensure successful project execution.
• Organize and coordinate Factory Acceptance Testing (FAT) for essential equipment.
• Conduct a pre-punch list walk-through with the Project Manager and Superintendent.
• Work with the site team to resolve punch list defects.
• Provide customer training on necessary equipment, as applicable.
• Gather all handover and completion documents for the project.
• Ensure compliance with Workplace Safety and Health standards during project execution.
• Arrange safety training sessions for project and site team members.
• Adhere to the Project Quality Plan (PQP) throughout project execution.

Requirements

• Diploma or Degree in Electrical Engineering or a related field.
• Over 3 years of project management experience in a relevant area.
• Experienced in managing multiple projects simultaneously.
• Strong organizational and follow-up skills with attention to detail.
• Excellent interpersonal skills, capable of professional interaction with all levels, both internally and externally.

Responsibilities:

Requirements :

• Min Degree in Computer Science/Information Technology or equivalent with minimum of 3 years of work knowledge in cybersecurity best practices and compliance requirements, and end user computing.
• Experience with conducting security risk assessments and incident management.
• Proficiency in maintaining and managing Microsoft technologies - Office 365, Active Directory (ADFS, DHCP, CA, DNS, RMS), Exchange Service (O365).
• Good work knowledge of security risk management, security governance framework and compliance (IT Security Audit/log review), technical vulnerability management (Vulnerability Assessment, Penetration testing), application security, security technologies (system hardening, IDS/IPS, firewall), security incident response and security assessment.
• Relevant certifications (e.g., CISSP, CISM, CEH, or other cybersecurity credentials) are highly advantageous. • Excellent project management skills and experience with budgeting, resource planning, and risk management.
