3) Shipment & Stock Management

• Communicate to Logistics & Brands for shipment PO/stock issues/ any discrepancy reporting
• Communicate to Operations on stock availability/ arrivals/ requisitions/ transfers etc
• Distribution list preparation for New merchandises
• Communication to Operations for New merchandise orders

4) Additional duties

• Any other administrative tasks which may include but not limited to order processing, creating & maintaining system SKU data, managing non-commercial items, liaising with warehouse on shipment status & stock related matters
• Follow up on monthly routine with Brands e.g. sales incentive/contest & on-counter GWPs & discount summary update
• Manage timely stocks return to vendors and stocks write-off/conversion
• Provide GWPs shipping information for warehouse follow-up on SKU tagging
• Ensure & communicate agreed promotion mechanics with vendors & Operations

Primary Responsibilities:

Day-to-Day Accounting Duties: Handle routine accounting functions which include managing accounts payable and receivable.

Financial Reporting: Contribute to the preparation of monthly financial statements and reports, including cash flow forecasts.

Reconciliation: Perform bank reconciliations and ensure that discrepancies are identified and resolved promptly.

Tax Submissions: Assist with quarterly GST submissions and other tax-related filings.

Audit Participation: Participate in quarterly and annual audits, providing necessary documentation and support.

Vendor Liaison: Communicate with external vendors regarding accounts matters, ensuring clarity in transactions and payments.

Qualifications and Skills Required:

Min. Diploma in Accounting, Finance, or Business Administration is typically required.

Proficiency in Microsoft Office, especially Excel, is essential for managing data and reports.

Strong analytical skills and attention to detail are crucial for identifying discrepancies and ensuring accurate financial records.

Good communication skills are necessary for liaising with vendors and collaborating with team members effectively.

The accountant plays a key role in ensuring that financial processes are efficient, accurate, and compliant with regulations.

Job Responsibilities:

• Communicate with users on part withdraw or dispatch from store.
• To check incoming new spare parts to receiving store.
• Report to supervisor on the spare part issue.
• Work with store team and internal purchaser for any inquiry regarding spare parts status in the store.
• Send spare part withdrawal report to the department by requirement.
• Maintaining the store 5S, includes Stock take activities

Job Requirements:

• Min. Nitec / Diploma in Mechanical / Automotive or relavent qualifications
• Proficiency in Microsoft Office (Words, Excel, Powerpoint, etc)
• General store documentation experience is a plus.
• Prior experience in automotive/ logistic / Warehouse will be added advantage
• Working Hours: 8am to 5.30pm (Mon to Thur), 8am to 5pm (Friday)

Shipment Coordination

• Coordinate end-to-end operations for air freight shipments
• Book flights with airlines and secure cargo space
• Arrange shipment collection with customers and internal teams
• Track and monitor shipment status, keeping customers informed

Documentation and Compliance

• Prepare full sets of shipping documents
• Ensure compliance with international regulations and IATA rules
• Update shipment data in cargo management systems

Customer Service

• Handle customer inquiries and provide timely updates
• Generate competitive quotations for clients
• Maintain good relationships with internal and external stakeholders

Operational Efficiency

• Coordinate with various departments, including sales and operations
• Implement improvements to enhance service capabilities
• Monitor progress to achieve monthly targets

Required Skills and Qualifications

• Minimum of 3-5 years experience in air freight operations or customer service
• Knowledge of air freight documentation, systems, and regulations
• Proficiency in logistics software (e.g., Cargowise) and Microsoft Office Suite
• Strong communication and problem-solving skills
• Ability to work under pressure and meet tight deadlines
• Diploma or degree in Logistics, Supply Chain, or related field
