Office Administrator/Receptionist (9-Months Contract)

We are looking for a highly organized and proactive Office Administrator to manage the day-to-day operations of our office. The ideal candidate will ensure the office runs smoothly, support staff with administrative needs, and contribute to a positive and productive work environment.
What you’ll do
- Greeting Visitors: Welcome guests and direct them to the appropriate person or department in a courteous and professional manner.
- Phone Management: Answer, screen, and direct phone calls, providing information or transferring calls as necessary.
- Appointment Scheduling: Schedule and confirm appointments, meetings, and events for staff, management, and clients.
- Administrative Support: Provide general administrative assistance, including filing, photocopying, faxing, and preparing documents as needed.
- Mail Handling: Sort, distribute, and process incoming and outgoing mail and packages.
- Managing Front Desk Area: Maintain a clean, organized, and welcoming front desk area; ensure proper signage is displayed and promotional materials are stocked.
- Communication: Relay messages, answer inquiries, and provide general information to employees, clients, and visitors.
- Office Supplies: Monitor inventory of office supplies, order replacements as needed and maintain office equipment.
- Maintain Confidentiality: Handle sensitive and confidential information with discretion and integrity.
- Assist with Event Coordination: Assist in the coordination of company events, meetings, or conferences as required.
Who you are
- Proven experience as an Office Administrator, or similar role.
- Strong organizational and time-management skills.
- Excellent verbal and written communication abilities.
- Proficiency in office software (e.g., Microsoft Office Suite, Google Workspace).
- Knowledge of basic budgeting and expense management.
- Problem-solving mindset and ability to handle unexpected situations.
