What You Would Get To Do
he Senior Producer will have a proven background of working within an agency environment delivering live and virtual events and should be confident managing the full process of interpreting client’s requirements from concept through to delivery. The candidate must have a strong background of creating engaging experiences and executing flawless delivery.
This position is an integral part of our Event Operations team and will be responsible for managing, supporting and/or executing various events, from initial concept through execution and final reconciliation. It requires a highly driven, client led and creative individual with excellent project management experience, who’s looking to develop their career and work with numerous high-profile clients. The Senior Producer will report directly to the Director of Operations, Asia.
RESPONSIBILITIES
Client Management
- Demonstrate an understanding of client’s business and event objectives
- Act as the client’s point of contact during the planning and execution of live events
- Build and maintain effective client relationships, anticipating requirements, understanding client needs and ensuring that requests are addressed in a timely manner
- Ensure clear communication with the client around all project deliverables including roles and responsibilities, agreed scope and budget, timelines and programme status
- Manage out-of-scope client requests and lead commercial conversations with clients across all aspects of the project
- Work in partnership with clients in an advisory capacity, consulting on industry best practice and recommending creative, effective and appropriate solutions
Project Management
- Responsible for leading and/or supporting the planning and execution of multiple or complex key events for global clients and accountable for quality of projects delivered
- Manage, prioritize and oversee events from creative concept through initial briefing to reconciliation including but not limited to initial budget creation, timeline management, planning, onsite delivery and post event reporting
- Oversight of all elements of the planning process including but not limited to venue and supplier sourcing and management, rooming blocks, F&B, AV and build, registration and event apps, staffing, F&B, security, transportation, signage and branding, SWAG sourcing
- Create and maintain complex project schedules, internal and external project documentation including project and ops plans, internal master decks, client WIP decks, meeting agendas and meeting minutes
- Actively lead internal project meetings or client meetings
- Negotiate and review supplier contracts and for accuracy, ensuring thorough onboarding of suppliers following agency process
- Manage and ensure SLA’s (Service Level Agreements) are monitored and achieved throughout the event production process
- Key role in pitch development, research, writing and presentation as required
- Support on-going department initiatives to ensure the delivery of service excellence, as required
- Build strong supplier relationships globally, seeking excellence in all areas of execution and communication
Team Management
- Lead and supervise project teams, hold regular team meetings and manage communications between team members to ensure clarity and that all deliverables and timelines are met
- Work with team to ensure adherence to client requirements and expectations
- Be knowledgeable and update the team on best practices, new suppliers, services, and venues
Budget Management
- Responsible for fiscal success of individual programs and assigned accounts including accurate and timely budgeting and reconciliation of events
- Build competitive, accurate and detailed programme and pitch budgets
- Responsible for accurate budget reporting to clients and timely reconciliation of events
- Maximize and monitor opportunities for increasing value adds, savings, and cost efficiencies, by forming strong partnerships with trusted suppliers
Creative Management
- Brief creative and strategy teams on project requirements and ensure that output from these teams is delivered on schedule and to expected standard
- Be proactive with ideas and creative solutions, contributing fully in creative brainstorms to generate ideas for clients
- Continually look for innovative solutions and production methods
QUALIFICATIONS
- 8 - 10+ year’s event management experience, preferably in an agency environment
- Advanced project management skills, including budget creation, management, and reconciliation
- Advanced knowledge of digital and technical aspects of productions including but not limited to general sessions, awards shows, activations and/or experiential events
- Ability to delegate to project team members and assign clear roles and responsibilities
- Proactive attitude, independent and inquisitive, with high attention to detail
- Organised approach, with concise and clear written and oral communication skills
- Good knowledge of logistical aspects of all event types
- Pre-empt and be able to modify plans as necessary
- Displaying diplomacy in all situations and always stay supportive of your co-workers
- Fresh thinker, showing creativity and innovation in all aspects of work
- Willing to travel when required
- Ability to work across time zones and with global event teams
- Advanced working knowledge of key APAC destinations including venues and suppliers
- Global event delivery experience
