Role Summary:

Working as part of the Global Bid Services team, the role shall support the design and estimation process for complex and high value bids for defined strategic and major opportunities across the business. The Bid Services team work collectively in support of the entity General Managers, and Global Sales Manager, in alignment with their respective strategic plans.

The Bid Coordinator will play a crucial role in supporting the end-to-end bid process, working closely with AVTEL’s bid manager, senior bid estimators, shared-services, engineering, and local sales/estimating teams to coordinate the planning, preparation, and submission of all bid documentation (PQQ, RFI, RFP & final bids).

Key Responsibilities include:

• Assist bid manager to plan bid activities, and resourcing; ensuring all information is issued to stakeholders and contributors and that they have a clear understanding of bid timelines and submission requirements.
• Coordinate and track bid activities; and provide regular progress updates to Bid manager and associated stakeholders, clearly identifying any identified risks.
• Coordinate proposal input from relevant stakeholders, usually contributors from Engineering, Estimating, Legal, Finance, Operations, Shared-Services, and Sales.
• Collate documents for bid submissions and consolidate all content in required bid format, aligned to customer needs.
• Production and delivery of compliant, and professional submissions within customer defined timeframes.

• Plan and coordinate regular bid reviews with all stakeholders and contributors at all stages of the bid process.
• Coordinate final submission of bid documents in accordance with ‘bidder instructions’ including management of customer tender portals.

Skills Required:

• Proven ability in the coordination and production of bid submissions at all stages of the tender process including pre-qualification questionnaires, requests for information, requests for proposals, final submission, and presentation.

Job Duties & Responsibilities:

Your Responsibilities Include

1. Assist Senior Operations Manager in the daily operations and manpower planning to ensure smooth operations of the workplace
2. Liaise with Clients/Suppliers/Sub-contractors and co-ordinate with project / retail teams to confirm and process orders
3. Forecast, plan and schedule manpower and materials for measurement, production and installation works to meet project requirements and deadlines
4. Update daily operations report
5. Perform inventory control and monitor stock movement
6. Prepare relevant documents including POs, quotations and claims
7. Perform verifications of suppliers/sub-contractors billings
8. Arrange incoming/outgoing documentations and schedules
9. Assist the management in developing strategic long-term plans to achieve strategic goals and objectives
10. Other ad-hoc assignments required

Technical Skills

• Min. Diploma in any Manufacturing or Engineering discipline, or related disciplines
• At least 5 years of relevant experience in Building Materials Industry
• Use of all relevant Microsoft software
• Experience with glazing materials and methods is preferred
• Experience in directing and supervising production personnel
