STUDIO D' INTERIOR PTE LTD is seeking a highly organized and experienced Admin Manager to oversee and manage our administrative operations. The Admin Manager will ensure the smooth functioning of daily office activities and support the overall efficiency of the company.

Key Responsibilities

Individual to be involved in:

1. Assist with daily administrative team duties

2. Invoicing, administrative and office support activities.

3. Hiring, training, and evaluating employees and taking corrective action when necessary.

4. Developing, reviewing, and improving administrative systems, policies, and procedures.

5. Ensuring the office is stocked with necessary supplies and that all equipment is working and properly maintained.

6. Working with the accounting and management teams to set budgets, monitor spending, other expenses.

7. Planning, scheduling, and promoting office events, including meetings, conferences, interviews, orientations, and training sessions.

8. Collecting, organizing, and storing information using computers and filing systems.

Technical Skills & Competencies

1. Attain admin skillsets by participating actively in daily duties.

2. Handle company budget

3. Strong communicator between different teams and clients

About the Role

• You will be responsible for the leading a team of Engineers and Technicians to ensure smooth operation of the facilities on day-to-day operations. You will be actively participating in new project tenders, setting up and operationalizing a team to deliver the contractual services to clients.

• You will be involved in Lifecycle projects, A&A works and other projects assigned.

• You will be assigned to other Business units/sites when required.

• You reports to the Senior Manager and assist him in the day to day operations

Job Scope

• Manage assigned Site and Business Units.

• Participate in new project tenders, setting up and operationalizing a team to deliver the contractual services to clients.

• Managing the Hard and Soft FM operations daily

• Ensure operation effectiveness of the team where you will review and implement new strategies or processes that can better serve the clients

• Ensuring periodical maintenance are carried out as plan.

• Overseeing reactive maintenance cases and drive towards reduction

• Presentation to management to seek approval for lifecycle projects.

• Carrying out 5S facilities inspection for 5S regularly

• Ensuring procedures fully comply with the statutory regulations.

• Contract management

• Risk management

• Financial management which includes managing Site budget, accounting and financial operations

• Lifecycle management

• Weekly reporting to management

• Ensuring contractual KPI are met at all times.

About You

• Degree or Diploma in Building/Facilities Management or Engineering from a recognised university or polytechnic or equivalent.
• Minimum 5 years of relevant work experience in building management services.

• Supervise work done on Site
• Taken instructions on behalf of the Contractor from the Employer
• Determite completion of wokes at the Site
• Attend immediately to any malfunction or breakdoen of any installation
• Once fault been resolved and the works have been completed submit to the Employer a status
• update by the next working day following the date of resolution of the fault

Requirement

• Holding Minimum of diploma in Mechanical, Electrical , Construction Managment , Building Managment , from Polytechinic or education institute recongnized by the Professional Engineers Board, SISV or others body which may be recognized by the employer
• Minimum of three(3) years of relevant working experience , or Tier 3 Accreditation of Society of project manager (SPM) Or Accreditation Construction Professional C by Singapore Contractors Association Ltd(SCAL)

Qualifications for Driver
High School diploma or GED equivalent
Valid state driver's license
Have been driving for at least 5 years
Great time management skills
Great customer attitude and attentiveness
Ability to operate a vehicle for 8 hours
Physically able to lift 50 pounds
Open to working nights and weekends
Great organizational skills

• Maintains administrative staff by recruiting, selecting, orienting, and training employees.
• Supervises clerical and administrative personnel by communicating job expectations, appraising job results, and disciplining employees.
• Sets policies and procedures for training, coaching, counseling, and career development for staff.
• Initiates and coordinates goals, deadlines, and projects for their department.
• Develops and implements policies and procedures to improve operations and function of the department.
• Monitors and procures needed supplies for office, reception, mailroom, and kitchen.
• Ensures a safe, secure, and well-maintained facility that meets environmental, health, and security standards.
• Manages the maintenance and repair of machinery, equipment, and electrical and mechanical systems.

6 months contract (renewable)

Responsibilities

• Manage receivables and payables related to physical product trading transactions.
• Oversee the issuance of import letters of credit (LC) and the negotiation of export LCs.
• Review and analyze trade contracts for accuracy and compliance.
• Collaborate with Operations to ensure seamless coordination of trade and shipment details.
• Monitor and follow up on payment approvals.
• Process payments for cargo and associated direct expenses.
• Update and maintain accurate trade information in the system to support month-end account closures.
• Provide Treasury with detailed receivables and payables data for cash flow planning.
• Perform additional duties and responsibilities as assigned.

Requirements

• Bachelor's degree in Accounting, Finance, Banking, Commerce, Maritime Studies, or a related field.
• At least 3 years of relevant experience in payments, invoicing, or trade finance.
• Knowledge of Letters of Credit (LC) is highly advantageous.
• Strong interpersonal and communication skills.
• Excellent numerical aptitude and attention to detail.

Familiarity with Final Cut Pro is a plus.
