What You Will Be Doing
The Office Operations Executive plays a vital role in ensuring the seamless day-to-day operations of our office. Reporting to the Operations and HR Manager, you will be responsible for maintaining an efficient, organized, and welcoming work environment for our team. This role is key to supporting the agency's operational excellence and culture.
Key Responsibilities
- Office Operations and Maintenance: Work closely with the Operations and HR Manager to ensure all office facilities, equipment, and assets are functional, well-maintained, and up-to-date, while serving as the primary liaison with building management for office-related matters.
- Pantry and Supplies Management: Oversee pantry supplies and inventory, ensuring they are consistently stocked and well-organized to support daily operations.
- Vendor and Procurement Coordination: Manage the procurement of office supplies, equipment, and pantry items through the agency's approved vendor list, ensuring timely and cost-effective delivery.
- Office Environment Management: Partner with the cleaning company to maintain a clean, organized, and welcoming workspace, including meeting rooms and communal areas.
- Admin Support to Leadership Team: Provide administrative support to the leadership team, including managing timesheets, processing claims, coordinating schedules, and arranging travel plans when required.
- System and Equipment Management: Support the management of office systems, including biometric systems, corporate accounts, and software licenses, while coordinating with external IT support for technical issues.
- Awards Submissions and Tracking: Take charge of coordinating award submissions and maintaining a tracking system for agency awards, ensuring all deadlines and requirements are met.
- Culture and Events Coordination: Assist in organizing agency events and activities to foster a positive and vibrant office culture.
Who We Are Looking For
You’ll thrive in this role if you:
- Have 1-2 years of experience in office administration or operations, preferably within the advertising or creative industry (fresh graduates with strong potential are welcome to apply).
- Are highly organized, detail-oriented, and efficient, with the ability to adapt to shifting priorities and situations.
- Possess strong emotional intelligence, enabling you to navigate dynamic environments and work effectively with different stakeholders.
- Excel in interpersonal communication, both written and verbal.
- Are proficient in Microsoft Office (Word, Excel, PowerPoint), Google Workspace (Docs, Sheets, Drive), and can quickly learn and adapt to new tools and technologies.
