RESPONSIBILITIES
The Administrative Executive is responsible for providing comprehensive administrative support across multiple departments in the Nursing Home, including Nursing, Operations. This role ensures that departmental functions are aligned, organized, and efficiently managed.
- Provide administrative support across various departments, including Nursing, Operations
- Facilitate staff and resident onboarding processes in collaboration with Nursing, Operations and HR departments
- Prepare meeting agendas, take minutes, and distribute meeting notes
- Monitor the schedule of contracts and activate the renewal process when due, coordinating with multiple departments to ensure compliance
- Collect data from Nursing, Operations department and verify invoices for the issue of payments
- Assist in the improvement of nursing education and learning materials, including clinical operation resources
- Prepare training logistics, book training rooms, and support online courses
- Coordinate training nominations and administration with external nursing home and other third-party organisation
- Prepare, compile, and maintain training records, including attendance, quizzes, and course evaluations.
- Compile and disseminate training reports to relevant parties
- Manage and assist in logistics preparation and coordination of meetings and events
- Oversee the record, storage, and issue of sponsored items, ensuring proper inventory management of medical and non-medical supplies
- Ensure adequate stocks of essential supplies and consumables to meet the operational requirements
- Manage office supplies and ward consumables, ensuring availability for all departments
- Collaborate with individual departments to collect, organize, and analyze data required for ongoing projects.
- Other ad-hoc duties as assigned
QUALIFICATIONS
- Min Diploma/Degree in Business/Building/Facilities Management/Engineering or equivalent with 3 years relevant experience
- Proficient in MS Office Applications and G-suite applications
