JOB SUMMARY

Reporting to the Housekeeping Manager, the Housekeeping Supervisor will assist the Housekeeping Manager in ensuring that cleaning of the guest rooms and public area are of high standards for the comfort and convenience of our guests in order to help create a seamless and memorable stay experience for them.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

• Attend daily briefing and take note of VIP arrivals and the special attention items for the guests.
• Conduct briefings with the room attendants and ensure they execute the special requests.
• Conduct room cleaning and public area checking. Ensure all rooms and public area assigned to public area cleaner & room attendants are in good order and completed timely at the end of the shift.
• Assist the Executive Housekeeper in organising and coordinating the preventive room maintenance program with maintenance team
• Organise and assign daily crash programs to ensure the periodic work is carried out to maintain high standards of cleanliness.
• Check the cleanliness and maintenance of the following:

- Vacant rooms according to reception's report and to check/report of the variance.

- Occupied and Check Out rooms are cleaned on time and within standard required.

- All suites and VIP rooms on floor assignment.

- All public area toilets and pool side furniture, drainage in public area are clean.

• Check and report any missing, damaged items and/or maintenance defects to the Housekeeping Manager immediately.
• Check and ensure all machine, equipment and tools are in good working order. Send for repairs if necessary and ensure timely return to reduce down time.
• Assist the Housekeeping Manager to follow through to rectification on all maintenance defects reported.
• Assist to administer and manage the lost and found procedures.
• Conduct inventories checks for guest supplies, equipment, machines and linens to ensure sufficient level at all times. Raise purchase order for items replenishment if necessary.
• Ensure the following at end of each shift :

- All stores and pantry stations are locked, neat and tidy.

- All equipment and supplies are stored and locked securely.

- Fire exit stairs are free of obstacles.

- All work for the shifts is completed and messages followed.

• Attend to guests request immediately when needed and inform the Housekeeping Manager if request cannot be handled.
• Assist in room cleaning whenever needed during high operations level.
• Coordinate the linen, uniform and guests laundry with external service provider to ensure timely collection and return of the items accurately and in good condition.
• Ensure both linens and stock inventory are submitted timely to the Executive Housekeeper at the end of the month.
• Follow the hotel safety and security policies and procedures. Report accidents, injuries and incidents to manager immediately.
• Perform any other duties and responsibilities that may be assigned.

EDUCATION and/or EXPERIENCE

GCE ‘O’ level / Certificate in Hospitality or Tourism / Diploma in Hospitality or equivalent with a minimum 2 years of hospitality experience.

The Supply Chain (SC) Manager develops, conducts, and improves the in-market supply chain include but are not limited to Customer Service and Logistics processes for the supply of products inbound to the LOC and outbound to its first trade customers in order to achieve optimal Customer Service levels and to maximize the On-Time-In-Full KPI, thereby supporting the commercial ambition. This role includes the management of external customer relationships with first trade customers and, in some businesses, will extend to developing collaborative relationships with individual wholesalers and retailers.

The SC Manager manages the supplier relationships with the local Customs Clearance LSP(s) and Repacker(s). The SC Manager will initiate and support a number of ‘exceptional’ processes to manage supply chain events and changes, such as supplying batch-level data to support stock-at-risk identification and physical destruction of product following write-off.

Key Responsibilities

• Manage outbound Customer Service and order management to first trade customer including order placement, invoicing, and customer complaints processes
• Primary point of contact to Commercial/customers/distributors/LSPs for current inventory availability, physical inventory/batch status, and reconciliation discrepancies
• Ensure the integrity of Material Master and Customer data (for logistics movements and order/invoice processing) within the local systems used

Customer Service

• Drive continuous improvement of OTIF (on time in full) performance for the market
• Manage interactions with 1st trade customers in line with signed agreements and GSK’s terms and conditions

3rd Party Management

• Supplier Relationship Management (including performance management) with third parties including Logistics Service Providers (LSP), distributors, customs clearance agencies, and freight forwarders
• Day-to-day issues resolution including stock reconciliation and system interface issues

Local Stock Management

• ‘First point of contact’ for communicating supply availability to Commercial
• Collaboration with Supply Hub to share intelligence on local market requirements (eg: contractual stock levels), align on supply (eg: SCIM updates), and request expediting of shipments where necessary to meet critical patient demand

Repacking

• Ensure that repacking operations are carried out in line with GSK Quality guidelines
• Schedule and prioritize repacking activity and manage any backlog

Core Commercial Cycle

• Represent Supply Chain activities/metrics/initiatives at DRM

Performance Management

• Ensure robust performance management is in place / in use, both internally as well as with external parties where appropriate (eg: LSPs)
• Drive local visual office / visual metrics aligned with the regional standard, and ensure appropriate escalations via cluster / regional performance management

Financial Management

• Validation of invoices against services provided and contractual rate cards
• Track spend and collaborate with Finance to raise accruals and review P&L

Safety, Quality, and Compliance

• Enforce GSK quality, safety, ABAC and other relevant standards
• Ensure appropriate risk management processes are in place and in use, including Business Continuity Plans, Distribution Risk Assessments, Risk Maps etc

Knowledge, Skills, and Experience

• Bachelor's degree in Supply Chain Management or Business Administration
• Min 5 years of experience in supply chain, logistics, customer service, planning, stock management, KPI's and SAP system
• Min 3 years of experience in managing crisis/issue management situations
