What are We Looking for?

We are looking for an experienced Intellectual Property (Trademarks/Patents) Executive to join our well established and experienced team. The prospective candidate will work seamlessly across the full spectrum of our IP practice and will take responsibility for providing specialist support on Intellectual Property matters, including due diligence on portfolios, Intellectual Property litigation matters coordination of foreign trademarks as well. The role will at times be demanding and fast paced so you will need to be an efficient worker who can prioritise, multi-task and remain calm under pressure.

Areas of focus and responsibilities

• Working with attorneys preparing evidence on enforcement and prosecution matters.
• Opening new matters for tracking purposes.
• Other project management tasks as required from time to time.
• Preparing deadline reports for clients
• Drafting filings and instructions for global trademark portfolios
• Working with attorneys on corporate due diligence and global trademark assignment projects
• Managing requests from agents
• Organizing documentary requirements for different jurisdictions, including powers of attorney and certificates, and having these notarized or legalized according to the country requirements.
• Filing trademarks and registered designs in Singapore as a registered user of the IP2SG portal by IPOS
• Liaising with foreign associates on filing trademarks and registered designs overseas
• Administering and monitoring IP portfolios and IP applications and registrations in Singapore and overseas
• Assisting on due diligence reviews of portfolio status.
• Using fee schedules to preparing cost quotations for fee earners
• Assist patent clearance and freedom to operate studies.
• Conducting patent research and preliminary patent searches.
• Preparation of patent applications, filings and renewal applications.
• Assist with global patent prosecution projects.
• Provide effective communication support to the fee earners you work with, and their clients, including close monitoring of post telephone calls to ensure that urgent matters are dealt with accordingly.
• Providing seamless matter-related support, including preparing and sending standard emails and letters, monitoring deadlines, updating our client management database, resolving account queries and assisting in the monthly billing process, communicating with legal staff, clients and support staff, and filing (both electronic and hard copy)
• Responsible for conducting preliminary prosecution for US and foreign patent applications and performing other duties to support the team.
• Preparing correspondence to associate law firms, foreign associates and/or clients.
• Maintaining and monitoring patent database for deadlines and status checks. Communicating with attorneys and clients regarding upcoming deadlines.
• Liaison with patent offices and foreign counsel, updating deadlines and following up as necessary.
• Opening matter files, e-filing, scanning, photocopying, preparing and updating status reports
• Reviewing and processing foreign associate and vendor invoices.
• Together with other secretarial staff and our finance department, you will assist in keeping track of outstanding bills and keeping statements of account up to date and produce reports as and when required.
• During our monthly billing time you will assist with the production of bills using our finance and time recording systems
• Throughout your time with the firm, you will be encouraged to focus on your own skills development needs and seek up-grading training on a continuous basis.

Skills and Experience:

• Diploma in legal studies or equivalent work experience required.
• 6-8 years of IP practice experience, with particular in-depth knowledge in:trademark search platforms – such as [IP team please complete]

Key Responsibilities

Financial Reporting

· Prepare/oversee and review monthly financial statements for the entities within the group.

· Conduct analytical reviews of financial statements to identify trends, anomalies, and areas for

Month-End and Year-End Close

· Manage the monthly and year-end close processes for all entities, ensuring accuracy and completeness.

Tax Compliance

Cash Flow Management

· Prepare monthly cash flow forecasts to ensure adequate liquidity for operations.

Accounts Receivable

· Supervise the Accounts Receivable process, ensuring timely update of receipts in CMS and

accounting system.

Accounts Payable

· Oversee the Accounts Payable process, ensuring timely and accurate recording of liabilities and payments to vendors.

Budgeting and Forecasting

· Assist in the preparation of annual budgets and periodic forecasts.

Working closely with various stakeholders, the Content Developer will ensure that the content aligns with Happy Together’s mission and values, while addressing emerging trends and needs in the learning industry.

Key Responsibilities:

• Conduct Learning Needs Analysis (LNA) with stakeholders to identify trends and develop relevant courseware to address these needs.
• Design and develop curriculum and courseware that align with Happy Together's core philosophy and educational goals.
• Prepare comprehensive course proposals, including course objectives, content outlines, and delivery methods, tailored to meet organizational and market requirements.
• Collaborate with internal teams and external partners to develop innovative courseware that meets training standards and learning objectives.
• Conduct research on emerging trends to propose new courses and recommend updates to existing offerings.
• Oversee external courseware developers to ensure their submissions meet Happy Together’s content and quality requirements.
• Evaluate and review courseware periodically to ensure alignment with industry standards and evolving learner needs.
• Manage feedback from stakeholders to refine and enhance course proposals and courseware development.

Requirements:

• Diploma, Advanced/ Higher/ Graduate Diploma, Bachelor's Degree, Post Graduate Diploma, or Professional Degree in Education, Training, and Development, or equivalent.
• At least 2 years of experience in curriculum design, courseware development, or instructional design.
• Possession of WSQ Advanced Certificate in Training and Assessment (ACTA), WSQ Advanced Certificate in Learning and Performance (ACLP), or equivalent certifications.
• WSQ Diploma in Adult Continuing Education (DACE) or equivalent is an advantage.
• Strong research and analytical skills to develop relevant and impactful course proposals.
• Proficiency in Chinese for translation of course materials when needed.
• Strong communication and organizational skills, with a focus on creating high-quality learning content.

Key Accountability (Main purpose of this job):

To play a key role in the admissions and student contract and documentation requirements prescribed by SkillsFuture Singapore Agency (SSG), inclusive of onboarding new students, re-enrolment of existing families, and transfer, deferment and withdrawal of students.

Responsibilities (Key areas of responsibilities):

Admissions Acceptance Stage:

• Working with the division Principals and Vice Principals to assign Class ID.
• Issuance of Student’s Pass (STP) Applications.
• Issuance of Standard Student Contract (SSC) upon completion of Pre Admissions Checklist.

Admissions Confirmation Stage:

• Working with the finance department to obtain confirmation fee and course fee invoices.
• Issuance of enrolment emails to parents.
• Issuance of Standard Student Contract (SSC) upon completion of Pre Admissions Checklist.

Admissions Onboarding Stage:

• Issuance of onboarding emails to parents.
• Preparation of student-teacher orientation prior to the first day of school and work with the administrative executives to ensure seamless on-boarding for new students.

General:

• Administer all course transfer, deferment or withdrawal cases.
• Issuance of SSCs during the re-enrolment of all existing students.
• Issuance of addendums of SSCs for changes in Schedule A and Schedule B.
• Issuance and cancellation of STP applications for all existing students.
• Assist in report preparation required for statutory board submissions.
• Assist in Open Houses, education fairs, marketing and school events where required.
• Document follow up with new students to complete student digital p-files compilation.
• Work collaboratively and communicate with relevant colleagues if and when support is required
• Be proactive in the deployment of any improvements deemed necessary

Required Qualifications and Experience:

• Minimum diploma in any discipline.
• Experience in the international school sector will be beneficial.
• Excellent command of both verbal and written English is required for this role and must be fully proficient in using Google Workspace.
• Ability to converse in another language will be an added advantage.
