Responsibilities:

• Support retail operations through merchandising and stock management.
• Liaise with overseas suppliers on shipment delivery and prepare shipping insurance documentation.
• Update purchase order confirmations with overseas suppliers.
• Assist with allocation planning and stock transfers for new product launches.
• Regularly prepare and update purchase launch plans.
• Conduct monthly training for Beauty Advisors on seasonal/new products.
• Monitor stock movement and ensure availability on e-commerce and online channels.
• Maintain and revise pricing records as needed.
• Collaborate with Sales and Marketing teams on product trends and customer preferences.
• Support in-store promotional activities and events.

Requirements:

• Passion for the retail industry with an interest in fashion and consumer trends.
• A minimum of 1 year of working experience in the consumer retail/fashion industry.
• Fresh graduates are welcome.

Responsibilities:

The Office Manager will oversee the front office operations, ensuring that staff effectively complete tasks to maintain smooth functioning. This role emphasizes clear communication with parents, school staff, and administration through phone conversations, written notes, email, and other channels.

Student Information:

• Manage and update student records and digital forms in PowerSchool.
• Coordinate parent orientation packets, including essential forms and documents.
• Oversee the student withdrawal process and manage account deactivations.
• Prepare monthly attendance reports for students with frequent absences.

Communication:

• Handle phone calls, WhatsApp messages, and front counter inquiries from parents, students, and staff.
• Manage school email accounts, ensuring timely responses and appropriate follow-ups.
• Maintain the SMS parent contact list and update phone messages for holidays and breaks.
• Coordinate media publication opt-outs and liaise with facilities during emergencies.

Attendance:

• Record and manage daily class attendance in PowerSchool.
• Follow up on questionable absences or tardies with teachers and parents.
• Update attendance records for student check-ins and check-outs.
• Send tardy notices to parents and report recurring issues to principals.
• Monitor teachers' attendance reporting and address discrepancies with principals.

Campus Card:

• Manage weekly Campus Card recharge statements and payments for the Finance Office.
• Assist students and staff with Campus Card account top-ups.

Transportation:

• Manage bus schedules and resolve issues in coordination with the Operations Director and Transport vendor.
• Assist the Sports Coordinator with transportation arrangements for away games.

Supplies and Inventory:

• Manage and order office and staff lounge supplies, including stationery and business cards.
• Restock lounge essentials and maintain organized supply inventory.

Mail and Merchandise:

• Manage incoming and outgoing mail, packages, and courier services.
• Oversee the sale of ICS merchandise, including uniforms and spirit shirts.

Qualifications:

• Bachelor’s degree in Business Administration or Administrative Management
• Minimum 3 years experience
• Proficient in Google Suite and Microsoft Office.
• Strong communication and organizational abilities.
