We are seeking a highly organised, proactive, and resourceful Secretary to provide high-level support to our Managing Director (Borderless Production). The Secretary will provide high level of administrative and secretarial support, ensuring the smooth and efficient operation of the office. The ideal candidate will be strong business acumen, proactive, detail-oriented, and able to handle confidential information with the utmost discretion.

Key Responsibilities:

• Manage the Managing Director's calendar, schedule meetings, coordinate appointments.
• Assist in the preparation and proof-reading of agendas, presentations, reports, and any other documentation and follow up on action items as required.
• Take detailed meeting minutes, distribute them to relevant parties, and follow up on action items to ensure timely completion
• Act as the primary point of contact on behalf of the Managing Director, handling correspondence, including emails, letters, and phone calls, on behalf of the Managing Director.
• Coordinate travel itineraries, including booking of flights, accommodations, and transportation and ensure all travel-related documentation and arrangements are completed efficiently.
• Maintain an organised filing system for important documents and records.
• Liaise with internal departments and external stakeholders on behalf of the Managing Director.
• Adapt to changing priorities and demands, demonstrating flexibility and problem-solving skills.
• Ensure the office runs efficiently by managing supplies, organising meetings, and coordinating maintenance services.
• Perform other administrative duties as required to support the Managing Director and management team.

Requirements:

• Bachelor’s degree in Business Administration or related field.
• Minimum 3 years of experience as a Secretary or in a similar role, preferably supporting C-suites executive / senior executives.
• Familiarity with office management procedures and basic accounting principles.
• Familiarity with legal documentation and business processes, with the ability to interpret contracts and regulatory documents will have an added advantage.
• Proven experience as an executive secretary or similar administrative role.
• Exceptional organisational and time-management skills.
• Excellent written and verbal communication abilities.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
• Ability to multitask and prioritise tasks effectively.
• High level of professionalism, discretion to handle confidential information.
• Strong attention to detail and problem-solving skills.
• Flexibility to travel and manage urgent matters outside regular office hours when required.
• Ability to adapt to changing priorities and work efficiently under pressure.

Job Description

• Review 3D BIM model and ensure correct the installation details, compliance with design specifications and guidelines.
• Supervise and coordinate site installation works by contractors.
• Attend site coordinate meetings with main-con, consultants and contractor.
• Lead daily briefing and execute the project activities and oversee implementation of the quality plan.
• Coordinate installation activities, site safety, order, arrange and receive M&E major equipment delivery for contractors’ installation.
• Arrange and attend material, equipment, installation, and testing inspection.
• Carry out testing and commissioning, combined services testing for TOP/CSC,
• Handover of completed work activities with as built drawings and O&MM to respective authorities or clients to in timely manner and delivery with desired quality standards and safety aspects.

Requirements

• Min Diploma in Building M&E Service (ACMV, FP, P&S, BMS, Ele and ELV) , Mechanical and Eletrical Engineering
• Min 5 years of experience
• Familiar to Building services (ACMV, FP, P&S, BMS, Ele and ELV) code requirement and basic design and necessary submission for tender bidding and construction, TOP and CSC
• Experiences for coordination with architecture, C&S and process team for M&E Space, maintenance and fire exit routing
• Skilled in design, coordination, and project management
• Experience in tender bidding, with strong analytical and critical thinking abilities
• Interpersonal, communication skills & leadership
• QP/PE, Green Mark manager or other BCA/SCDF/PUB authority certification are highly desirable

Job Description

• Lead, Plan, organize, supervise and liaise closely with operation team on all lifting activities.
• Overall in-charge for preparing lifting and erection plan for all the Crawler or Mobile Cranes.
• Prepare, develop and review Lifting plans, Method Statement, Risk Assessment and Safe Work Procedure of all executive teams for any lifting activities.
• Conduct routine checks and inspections on work site to ensure compliance with authorities and client’s requirements.
• Daily walk about around assign areas of site and make a note of compliance and non-compliance to HSE operating procedure and works are carried out safely.
• Able to prepare and review lifting plan and coordinate site lifting supervisors, riggers and signalman, and being the focal point for all site lifting operations Perform discipline checks of the procedures and analysis.
• Read project specifications and provide feedback from an engineering perspective. Liaise with clients, and project teams.
• Coordinate and interface with Client/ other contractors to harmonize the onsite lifting arrangement.
• Conduct safety assessment & discussion with EHS team (safety) for any latest safety policy and implement the safety requirement when needed.
• Periodically monitor and implement any procedural changes according to the local authority / client’s requirement & regulation updates.
• Periodically monitor and execute the lifting work improvement at lifting site inclusive all facilities/tools.

Requirements

• Degree in Civil Engineering or any related Engineering
• Minimum of five (5) years site experience and has attended MOM or Institute of Engineers Singapore conducted Appointed Person - Lifting Operations course to oversee the activities of the various lifting operation on site
• Able to communicate well (spoken and written).
• Possess a willing to learn and proactive attitude.
