Responsibilities for Executive Secretary to provide a range of secretarial and general administration services for Singapore Glass Association (SGA) and its members, which will include:
- Organize and maintain files and databases in a confidential manner.
- Manage communication including emails and phone calls.
- Screen phone calls, redirect calls, and take messages.
- Schedule appointments, meetings, and reservations as needed.
- Receive deliveries; sort and distribute incoming mail.
- Maintain and order office supplies.
- Resolve administrative problems, and implement improvements to make them more efficient.
- Take dictation & accurate minutes of meetings.
- Executive Committee monthly meetings and AGM sessions.
- Membership administration and feedback.
- SGA’s financial accounts reporting.
- Initiatives with government agencies/other stakeholders in industry transformation covering; Productivity, Digitalisation and Internationalisation.
- Manage activities as BCA’s approved training and testing centre.
- Planning, coordinating and execution of all SGA’s events/courses with relevant parties/agencies.
- Curating content for SGA’s website, social media channels and other digital platforms.
Requirements:
- Singaporean or Singapore PR only.
- Preferably with 2 or more years of administrative working experience with related stakeholders
- Articulate and possesses excellent communication and interpersonal skills.
- Proficient in MS Office.
- Good writing skills in English and Chinese (to liaise with Mandarin-speaking associates).
- Comfortable with routinely shifting demands.
- High degree of attention to detail.
- Working knowledge of general office equipment.
- Excellent time management skills and ability to multi-task and prioritize work.
