Key Responsibilities:
• Cost and prepare tender documents – including suggestions for destinations and inclusions.
• Manage group bookings and allotments.
• Liaise / negotiate with suppliers.
• Ensure all details of arrangements are confirmed – including transportation, accommodation, conferencing, dinners, tours, team-building and other events requirements.
• Manage financials.
• Collate and distribute registration information.
• Attend client meetings, information evenings, events as required.
• Prepare visa, health, insurance and other travel advice for clients.
• Process client requests accurately, in accordance with system and office procedures.
• Offer professional advice and suggestions to ensure customer’s expectations are met and exceeded.
• Make all reservations in accordance with the client company travel policy, ensuring that their guidelines are not breached.
• Respond to all telephone requests, email requests within CTM’s guaranteed turnaround times.
• Utilise the full facilities offered by CRS/GDS – Sabre and email, e.g. diary, queuing system, hotel reservations system, profiles (keep all traveller’s profiles up to date), office messaging system etc.
• Utilise e-ticketing for domestic and international air tickets whenever possible. Ensure details/itinerary are provided to the client.
• Ensure tickets, itineraries and documentation are always correct and delivered to the customer on time.
• Process refunds in a timely manner.
• Process invoices for charge backs on same day as being received.
• Enter custom fields in air costings for effective/accurate client reporting.
• Attend product training seminars when necessary to keep fully informed.
• Ensure a good relationship is developed with airline, hotel and car representatives and associated personnel. Utilise these relationships to gain best service and arrangements for the customer and our company.
• Attend weekly staff meeting.
• Participate as a team member and contribute to the wellbeing of our company
• Handle CTM and partner online platform
• Working closely with colleagues from other departments and offics
• General administration tasks, as assigned by the manager
Skills and Experience:
• Minimum 3 years’ experience working in MICE or travel & tourism company
• Must have experience with Sabre
• Advanced computer skills for Word, Excel and PowerPoint and events software “EventsAIR”
• Wide destination knowledge
• Exceptional attention to details and good time management skills
• Professional communications both written and verbal
• Proven success in managing logistics and budgets
• High level negotiator when seeking best arrangements for your clients
• Ability to speak and present in public
• High level customer service skills
