Job Description

Reporting to the Finance Operations Team Lead, this role will be responsible for supporting the Finance team on administrative tasks to support finance deliverables and day to day operations. In this critical role of a dynamic growing business, it is an opportunity to gain exposure to finance operations in construction industry and gain experience in Accounts Payable.

Below is a non-exhaustive list of deliveries expected from the candidate. However, it covers the foundation responsibilities and capabilities that are required for the candidate to be successful in role.

• Day-to-day operational tasks including account payables, accounts receivable's and bank reconciliation functions.
• Maintain accurate and thorough finance data records
• Support in any other ad-hoc duties as required by the team
• Adherence to safety in the workplace
• Other administrative scope such as scanning and filing of documents

The ideal candidate should have:

• Diploma graduate in accounting and finance or its equivalent
• Min. 1 year of experience in accounting & finance role
• Detail orientated with a strong professional pride in ensuring tasks are delivered accurately and on-time
• A team player, with a positive proactive approach to managing tasks on hand.

Job Duties And Responsibilities

• Update purchasing records, data and pricing into system.
• Prepare and process purchase orders.
• Manage all correspondences related to vendor, pricing and delivery shortage.
• Coordinate with Project Team and Suppliers.
• Assist in quotation for tender purposes.
• Responsible for filling of all purchasing documents and maintain record for the Purchasing Department.
• Collate and submit purchasing documents such as supplier invoice, PO, and DO to Finance Department.
• Liaise with Finance Department on payment matters.
• Coordinate with Store and vendor on cancelled or damaged items.
• Perform other ad-hoc duties as assigned.

Requirements

• Minimum ‘O’ level or equivalent, Diploma/Degree.
• At least 2 Year(s) of working experience in the related field is required for this position.
• Able to effectively communicate with suppliers / vendors.

~ Assess viability of workflow improvements.

~ Coordinate day-to-day fleet operational activities under supervision.

~ Maintain relationships with clients.

~ Manage compliance to risk management frameworks, policies and processes.

~ Manage information exchange between clients and business.

~ Manage issues arising from servicing client accounts.

~ Optimise utilisation of resources.

~ Oversee implementation of workflow improvements to improve efficiency.

~ Support HSSEQ department in ensuring ship operations are in compliance with internal company procedure

• Manage end-to-end recruitment process
• Administer on-boarding and off-boarding programs
• Coordinate and communicate with other departments to meet staff training needs
• Manage staff training matter and administer training related funding and claims
• Ensure the correct recording of all relevant record logs and documentation
• Organise and execute employee engagement and welfare activities
• Maintain and update employees' personal files
• Follow-up on contract renewal and expiry
• Handle employee relations matter
• Handle HR letters and correspondence
• Support HR activities and initiatives
• Provide support on office administrative matter
