Job Summary:
The Facility Executive is responsible for supporting the Facility Manager in the day-to-day maintenance and management of the organization’s facilities. This role includes assisting with coordinating maintenance schedules, managing vendor relationships, ensuring compliance with safety regulations, and handling administrative tasks related to facility operations. The Facility Executive will also contribute to ensuring that all building systems and equipment are maintained in optimal working condition.
Key Responsibilities:
Maintenance and Operations Support:
Assist the Facility Manager in overseeing the daily operations and maintenance of facilities, including HVAC, plumbing, electrical, and other systems.
Help coordinate preventive maintenance schedules and assist with emergency repairs as needed.
Vendor Coordination:
Assist in managing relationships with vendors and service providers.
Help ensure that service contracts are up to date and that vendors are delivering services according to agreed-upon terms and schedules.
Health, Safety, and Compliance Support:
Assist with ensuring compliance with all health, safety, and environmental regulations across all facilities.
Participate in conducting routine safety inspections and audits.
Ensure that all staff and contractors adhere to safety protocols.
Administrative and Reporting Tasks:
Maintain accurate records of maintenance activities, service requests, and facility reports.
Help prepare and maintain maintenance schedules and keep track of budget expenditures for facility-related activities.
Generate regular reports on facility performance and maintenance status for review by the Facility Manager.
Facility Improvement Support:
Assist in planning and executing improvement projects for the facility, such as upgrades to building systems or general repairs.
Coordinate with contractors and service providers to ensure timely completion of improvement projects.
Customer Service and Communication:
Serve as a point of contact for internal staff regarding facility-related issues and maintenance requests.
Address and resolve facility-related concerns or service requests from employees or external stakeholders in a professional manner.
Inventory and Resource Management:
Assist in managing inventory levels for supplies, tools, and equipment required for facility maintenance.
Ensure that maintenance resources are available and ready for use when needed.
Qualifications:
Diploma in Facility Management, Engineering, or a related field preferred.
2-3 years of experience in facilities management or a related role.
Knowledge of building systems and maintenance processes.
Strong organizational and communication skills.
Ability to work collaboratively in a team environment and manage multiple tasks simultaneously.
