Duties and Responsibilities

The Administrative Assistant’s responsibilities and scope span across a number of individual departments.

Retail

· Sending of daily delivery and collection report after 2pm

· Assist with management and delivery of all ATLAS retail orders including:

o coordination between departments

· Assist in organising an effective BOH stock storage area; includes labelling, cleanliness, and organisation

· Assist the Venue Operations Manager with overall stock management related to ATLAS retail.

Administrative

· Assist with overall organization of ATLAS office- checking and setting of PAR levels, and ordering of office supplies such as coffee, tea, cleaning products and stationery

· Assist with admin tasks such as tracking birthdays, birthday cards and farewell cards

Reservations

· On an ad-hoc basis or during the Reservations Executive’s absence, the Admin Assistant is expected to:

o Respond to all incoming requests via e-mail in a time sensitive manner including reservation requests as well as general information enquires

o All e-mails that require the assistance of another staff member are to be forwarded with the utmost attention to time and detail

o Assist all guests with reservation enquires, finding the best possible solution to meet both the guest’s preferences and the operational needs of ATLAS

o Answer any calls from the main ATLAS phone line, handing all such communications in a friendly, hospitable, and professional manner

La Saigon is setup in 2018 to promote the goodness of Vietnamese food and coffee to the world. Our foods are prepared daily using fresh ingredient and premium produce. Traditional Vietnamese herbs and recipes are used to bring out the original taste of Vietnamese cuisine such as Pho, Banh Mi, Bun and Spring Roll. All our coffee beans are sourced directly from the volcanic highland of Vietnam and roasted locally in Singapore. Every cup is freshly grinded and brewed before we serve to customers.

Job Descriptions

• Assist head chef with food prep tasks like chopping, peeling, and marinating.
• Help with cooking simple dishes under the supervision of our head chef.
• Ensure all kitchen tools and equipment are cleaned and stored properly.
• Carry out kitchen inventory checks, and report shortages to the management.
• Maintain a clean and organised kitchen, ensuring compliance with health and safety regulations.
• Any other matters required by the head chef and management.

Job Requirements

• Previous experience in a similar role is a plus, but not necessary. Training will be provided.
• Ability to follow instructions and work in a fast-paced environment.
• Must be available to work flexible hours, including weekends and holidays.
• Basic understanding of kitchen operations and health and safety regulations.
• Passion for food and the hospitality industry.

Working hours

• 6days, 8hrs per day

Job Scope –

• Handle day-to-day admin & accounting functions(data entry and bookkeeping into the accounting system)
• Responsible for handling general affairs and officemanagement
• Assist in documentation of quotations, purchase orders,and delivery orders
• Liaise with internal employees and external partiesre garding general affairs and administrative support functions
• Manage admin duties such as data entry, email,preparing of issuing of invoices, delivery orders, etc
• Coordination of payment issues between suppliers/customers and our company
• Coordination of disputes between our requestors andsuppliers.
• Any other ad hoc duties assigned.

Requirement

• Possess at least ‘N’, ‘O’ level & ITE or equivalent relevant work experience
• At least 1-2 years of purchasing experience in the Construction Industry
• Can work independently with initiative and minimal supervision

Duties

• Assist in the ordering of office supplies.
• Liaise & co-ordinate with office’s contractor for maintainance, servicing, repairs, etc.
• Set up & maintain proper filing system for documents. (Soft and hard copy)
• Perform clerical / administrative duties; typing, filing, data entry, prepare reports, etc.
• Maintain petty cash record.
• Maintain annual leave record.
• Preparation and issuance of invoices.
• Taking and transferring calls.
• Assisting on preparation on tender documents
• Photocopying/printing documents.
• Perform any duties assigned by Management.
