RESPONSIBILITIES

A Therapist Assistant is responsible for providing support to therapists before, during and after therapy sessions. Ain Society is looking for a dedicated and versatile executive to assist in the administration and management of our facilities across three centers, working closely with our admin team on administrative matters, as well as assisting our IT consultant in providing IT support to all staff. The ideal candidate will have a strong administrative background, preferably in administration and/or IT support, demonstrating excellent organizational, problem-solving, and communication skills.

Key Responsibilities

Office and Facilities Administration:

• Work closely with the admin team to perform administrative duties.
• Maintain accurate records of all physical and fixed assets, including acquisition, allocation, maintenance, and disposal, using our asset management online system.
• Regularly inspect facilities to ensure they are properly maintained and accounted for.
• Assist in developing and implementing policies and procedures for facilities management, ensuring compliance with relevant regulations and standards.
• Coordinate with vendors and service providers for facilities/asset procurement, maintenance, and repairs.
• Work closely with our outsourced IT consultant to perform various IT solutions, including addressing hardware and software issues in a timely and efficient manner.

Project Management and Other Duties:

• Assist in the planning and execution of special and adhoc projects and initiatives.
• Assist the logistics team for event logistics and materials preparations.
• Ensure events are executed smoothly as and when required.
• Any other duties as assigned by the Management.

Scope of work

• Provide pleasant and attentive services to members of public stakeholders and members of school, i.e. parents, students etc with their enquiries and requests.
• Provide timely, accurate and clear communication – both written and verbal – to members of public stakeholders and members of school, i.e. screen and direct calls, take and relay messages, provide required information for inquiries.
• Attend to sick or injured students who report to the General Office (GO), and notify relevant staff as well as maintain records of sick bay usage
• Support the GO staff with administration and operational matters, e.g. organise and sort mails, receive deliveries, assist with recording students’ late coming, checking the completeness of forms submitted to the GO.
• Keep proper records of keys and lockers issued.
• Complete other role-related duties as assigned by Principal, Vice-Principals, Administration Manager and Admin Executive.

Qualifications, skills and experience:

• Possess a minimum 3 years’ experience working as a receptionist or as a personal assistant to management/C-suite personnel, and/or relevant certificates.
• Have good working knowledge of office IT software such as Words and Excel.

Contract Period: From 8 Jan 2025 to 30 June 2026

Start Date: 8 Jan 2025 or date of issuance of Letter of Acceptance, whichever is later

End Date: 30 Jun 2026 or adjusted according to the actual start date
