Job Summary:
We are looking for a Department Assistant who provides administrative support to ensure efficient operation of the department. This role involves organizing schedules, handling correspondence, maintaining records, and assisting with various departmental tasks.
Key Responsibilities:
1. Administrative Support:
- Manage schedules, appointments, and meetings for department members.
- Handle department correspondence, including emails, letters, and calls.
2. Documentation and Records Management:
- Maintain and update department files, databases, and records.
- Prepare reports, presentations, and other documents as needed.
3. Office Coordination:
- Order and maintain office supplies.
- Coordinate with other departments or external vendors as required.
4. Event and Project Support:
- Assist in planning and organizing departmental events or projects.
- Monitor project timelines and provide administrative support where needed.
5. General Assistance:
- Provide day-to-day support to department staff for miscellaneous tasks.
- Handle any ad hoc duties assigned by department management.
Requirements:
- Diploma or equivalent qualification in business administration or related fields.
- Strong organizational and multitasking abilities.
- Excellent communication and interpersonal skills.
- Ability to work independently and as part of a team.
- Proficiency in Japanese or Chinese is a plus, as this role may involve liaising with international clients or stakeholders.
