Position Overview

As an HR Executive in an organization registered as an Institution of Public Character (IPC) in Singapore, you will provide support to the HR function and assist in managing HR operations and compliance with IPC guidelines. This role is ideal for candidates who are eager to develop their HR skills in the charitable sector.

Roles and Responsibilities

HR Operations and Administration

• Assist in various HR operational tasks, including employee onboarding, offboarding, attendance tracking, leave administration, data management, such as maintaining accurate and up-to-date employee records, including personal information, contracts, leave records, and training records.
• Handle HR-related correspondence, such as employment letters, confirmation letters, and employee communications.
• Support payroll administration and benefits administration processes.

HR Policy Implementation and Documentation

• Assist in implementing HR policies and procedures that align with the organization's values and IPC guidelines.
• Communicate HR policies to employees and provide guidance on HR-related matters.
• Support the dissemination and training of HR policies to ensure consistent understanding and compliance among employees.
• Assist in maintaining and updating HR policy documents.

Recruitment, Onboarding Support, Employee Engagement and Welfare

• Assist in recruitment activities, including posting job advertisements, screening applications, and scheduling interviews. Conduct reference checks and assist in coordinating pre-employment assessments.
• Support the preparation of employment contracts and ensure compliance with relevant employment laws and regulations.
• Assist in facilitating the onboarding process for new hires, including conducting orientation sessions, and managing documentation.
• Support employee engagement initiatives, such as staff events, recognition programs, and employee feedback mechanisms.
• Assist in administering employee welfare programs, such as insurance schemes, employee assistance programs, and wellness initiatives.
• Collaborate with relevant stakeholders to foster a positive and inclusive work environment.

Requirement

• Diploma in Human Resources Management or a related field or relevant HR certifications.
• Some exposure or familiarity with Institutions of Public Character (IPC) guidelines and regulations issued by the Commissioner of Charities would be an advantage.
• Basic understanding of Singapore's employment laws and regulations.
• Strong attention to detail and organizational skills, with the ability to manage multiple tasks simultaneously.
• Proficiency in MS Office suite.
• Familiarity of HR information systems would be an advantage.

Key Responsibilities:

• Front Desk Operations: You will be the face of the Centre, greeting visitors and answering phone calls. You will handle administrative tasks such as registration of new students, managing walk-ins, and responding to inquiries from parents.
• Sales and Enrolment Management: Develop and implement strategies to attract new students and increase enrolment.Conduct outreach to potential students and their families through various channels, including phone calls and emails. Provide information about our tuition programs, courses, and schedules to interested parents. Guide parents through the enrolment process, including registration, payment, and scheduling.
• Centre Management: You will be responsible for ensuring the smooth running of daily operations at the Centre. This may involve organizing schedules, maintaining the Centre's cleanliness and orderliness, and ensuring that supplies are adequately stocked.
• Customer Relationship Management: Build strong relationships with parents and guardians by addressing their inquiries and concerns promptly and professionally. Serve as the primary point of contact for parents, providing ongoing support and assistance throughout their child's enrolment. Maintain accurate records of student enrolment, attendance, and payments using our database systems.
• Administrative Support: Assist with administrative tasks such as scheduling classes, managing student records, and preparing reports as needed. Coordinate with teaching staff to ensure smooth operation of classes and timely communication with parents regarding student progress. Handle general office duties, including answering phone calls, responding to emails, and maintaining a clean and organized workspace.
• Reporting: You will be responsible for keeping the Centre Manager informed of any issues or concerns that arise. You will also be expected to provide regular updates on the Centre's performance, including enrolment and attendance.
• Collaboration: You will be workin closely with the Teaching & Curriculum Team to ensure that students receive the best possible education and support. You will be expected to communicate effectively with team members and contribute to a positive, collaborative work environment.

Requirements:

Work locations and timings

• You will be required to travel between our various outlets (Bukit Timah, Lorong Chuan, Kembangan) based on roster schedule and commit to the work schedule of 3 weekdays and 2 weekends.

• Perform product assembly, equipment and machine sub-module assembly according to specifications
• Generate require documentation from Bill of Materials (BOM) and assembly drawings

• Generate PFMEA, technical reports and perform Failure Analysis (FA) on products
• Hand on electrical hard wiring & components installation
• Conducting research on new technologies, materials, or manufacturing processes that could benefit the project.
