Billing Executive (Import Billing Department)

Working Location: Alps Ave (Changi)
Working hours: Mon-Fri 9am-6.30pm
Basic Salary: $3000-$3600

Job Description
Operational role responsible for supporting billing team in day-to-day operations. The incumbent may seek appropriate level of guidance and advice to ensure delivery of quality outcomes.

Key Responsibilities:
Invoicing and Billing:

• Generate and send accurate invoices to customers or clients.
• Ensure that billing is done according to the company’s policies, client agreements, and payment terms.
• Review client accounts and billing histories to ensure accuracy and completeness.
• Correct billing errors and discrepancies promptly.

Data Entry and Record Keeping:

• Input billing data into the company’s accounting or billing system.
• Maintain detailed records of transactions, invoices, and payment histories.
• Ensure that client and payment information is up to date in the system.

Payment Processing:

• Track and monitor client payments, ensuring timely collection.
• Follow up on overdue payments by contacting clients via phone, email, or letter.
• Apply payments to the correct accounts and resolve any payment issues.

Customer Service:

• Address and resolve client billing inquiries and disputes.
• Provide support to clients regarding billing and payment concerns.
• Assist clients with setting up payment plans or resolving issues related to their invoices.

Reporting:

• Prepare and generate regular reports on billing and payment statuses for management.
• Assist in reconciling accounts receivable balances.
• Maintain accurate records to assist in the preparation of financial reports.

Compliance and Auditing:

• Ensure that billing practices comply with financial regulations, company policies, and industry standards.
• Assist in audits by providing necessary documentation and supporting information.

• Identify potential clients and develop new accounts
• To manage sales and daily logistics duties
• Maintain good relationship with clients and ensure high customer satisfaction
• Identify and enlarge targeted customer base
• Follow up and ensure smooth freight service from pick up to delivery
• Other ad-hoc duties as assigned by the Manager

Key Requirements:

• At least 1 year of sales experience in any industry
• Business Development experience will be highly advantageous
• Bilingual in English and Mandarin to communicate effectively with Mandarin speaking clients

• To issue / print / match / detach daily customer invoices
• To issue Export Transfer slip
• To mail / email / courier daily / weekly / bi-weekly / monthly invoices to Local /overseas customer
• To prepare Weekly / Monthly Invoice summary report according to customer requirement, upload invoice to website / portal .
• To monitor on customer special request FHD invoice
• To scan & email daily invoice to customer
• To sort / arrange / pack monthly invoice into carton boxes
• To issue Credit note
• To download Transfer Slip and approve Transfer Slip
• To prepare weekly summary report

Requirements

• Basic Microsoft Skills like Word / Excel
