Position Offered

This is a temporary project-based position, Project Coordinator (LE4), for three months (extendable depending on the project requirements) to onboard a new Contacts and Events system for the Australian High Commission.

The Australian High Commission Singapore is looking for someone to manage the migration of contacts data from a range of sources onto a new Salesforce based contacts and events system.

The position will be responsible for migrating data to the new system and consolidating the database, learning how to use it (training and support will be provided), then in turn sharing, training and documenting this for other key users across the High Commission.

Job Description

• Cleanse, update and migrate data from the existing contact lists into the new system.
• Work closely with the Australia team regarding the migration and functionality of the new system.
• Work with internal stakeholders at post to identify business needs and use of the new system.
• Become a master user of the system, with the ability to maintain, add and remove contacts and create invitations and events.
• Undertake the role of a trainer and system.
• Create SOPs on the regular system maintenance.
• Any ad-hoc duties as per assigned

Requirements

• Strong IT skills with demonstrated ability in Microsoft Office, particularly in Outlook, Word and Excel (Vlookup & Pivot Table), and data manipulation.
• Is detail-oriented and able to handle a range of inputs and large database.
• Independent, good organisational skills and ability to work with limited direction.
• Strong written and oral communication skills, a team player and able to manage and share information within the workplace.
• Sound judgement, including an ability to develop and interpret policies, guidelines, regulations, and other relevant material.
• Experience in Salesforce is not required, training will be provided on how to use this system.
• Able to start in short notice.

• To perform inspection and to ensure provisions and cast-in item related to SWC are in line with approved sign-off CSD/SEM/Casting drawing during the casting stage.
• To work closely with structure design team/SWC/ casting personnel when unforeseen issues arise before/during the casting stage. (eg. pipe routing)
• To manage sub-contractors and to ensure their shop designdrawing comply with authority /consultant requirement and specification.
• To ensure all sub-contractor shop drawings related to M&E got approval from relevant authority prior to the site installation.
• To involved in weekly SWC and task-force meeting to address any blockage issues related to M&E.
• To coordinate with SWC the delivery route for their equipments and their respective temporary working space.
• To coordinate plumbing and sanitary system, earthing system and all related sub-con for the site installation work and to ensure quality and mounting requirements endorsed by the authority are met.
• To manage the handing over of categories rooms to SWC and also to work with structure/architectural team to clear any defects raise by SWC.
• To resolve SWC containment clashes on site and to ensure services comply to CSD/SEM working drawing.
• To coordinate M&E items interfacing with architectural work.
• Perform inspection with relevant authority for quality check and to rectify any comments
• Prepare documents to the relevant authority for commissioning of equipments
• To prepare all related M&E as built drawing for submission to Authority approval

Position: Asst Programme Co-ordinator

To coordinate, liaise, facilitate and execute programmes according to the scheduled activities for members.

Roles and Responsibilities

· Supervision by Senior/Programme Coordinator

· Daily supervision, monitor and assist members in the various Centre activities (outdoor or indoor)

· Participate in the training/teaching of members in the areas of:

. Daily Programme activities

. Functional and daily living skills

. Behaviour and social skills

· Dignifying members by allowing them to make their own choices.

· Work with member’s families as required.

· Work with volunteers on the daily delivery of programmes for members (provide guidance to volunteers where needed).

· Organise and coordinate outings with volunteers, for members.

· Prepare the Centre for the various daily activities.

· Maintain administrative work such as daily attendance taking for members, record of daily programmes, meals/general expenses claims, etc.

· Purchase and preparation of daily tea-breaks and lunch for members.

· General house-keeping of Centre and all equipment/ items.

· Actively participates in the day-to-day operations according to the Catholic Church’s Social Teachings.

Qualification

· O/A level/Diploma or ITE in Community Care & Social Services course or equivalent.

Knowledge & Experience

· Some experience with persons with intellectual disabilities is preferred.

· Ability to plan, meet deadlines.

· Good communication skills.

· Able to motivate and encourage persons with intellectual disabilities.

· Team player.
