An ACMV (Air Conditioning & Mechanical Ventilation) Installation Site Coordinator plays a crucial role in overseeing and coordinating the installation of ACMV. Their duties and responsibilities are focus on ensuring the project is completed efficiently, safely, and within budget. Detailed breakdown of their responsibilities shall be as below and but not limited to:

1. Project Planning & Scheduling

• Work Scheduling: Coordinate and schedule all activities related to the installation of ACMV systems, ensuring that work is carried out according to the project timeline.
• Resource Allocation: Ensure that manpower, materials, and equipment are available as per project needs and schedules.
• Coordination with Contractors: Collaborate with subcontractors, suppliers, and other vendors involved in the installation process to ensure timely delivery and work execution.

2. Site Supervision

• Site Setup: Oversee the setup of the installation site, ensuring that all necessary equipment and materials are in place.

• Oversee and coordinate with a team of packers with regards to management expectation
• Planning of rostering/scheduling within own department
• Supporting of Logistics team when needed
• Packing of orders base on productino numbers
• Delivery of orders if needed
• Warehouse duties

Requirements

• Must be able to work for 5 days per week including weekends and Public Holiday
• Able to work in fast-paced environment
• Must be physically fit and able to carry boxes
• Proctive, fast and result-orientated individual
• Working hours: 10.30pm to 7am

Responsibilities:

Sales Administration / Support

• Process customer purchase orders by completing Customer Order Processing (COP) forms and ensuring stock reservations are made.
• Prepare and submit purchase requisitions for equipment, spare parts, and accessories needed for projects and ad-hoc orders, seeking approval as necessary.
• Communicate with customers, manufacturers, vendors, and suppliers via email or phone to track shipment statuses.
• Take responsibility for following up on the receivables and deliverables of ordered goods, and identify ordered equipment to prepare material take-off schedules.
• Coordinate with the Warehouse and Logistics Departments to ensure timely packing and delivery of goods to customers.
• Respond to customer inquiries (via phone or email) regarding pricing, stock availability, or complaints (such as invoice disputes), and ensure proper follow-up actions are taken.
• Assist Sales Manager(s) / Assistant Sales Manager(s) in preparing proposals and quotations for customers.
• Support Sales Manager(s) / Assistant Sales Manager(s) in gathering different variations for projects to facilitate price negotiations with customers.
• Ensure proper organization and filing of documents.
• Perform other ad-hoc tasks as assigned by the Head of Sales / Sales Manager(s) / Assistant Sales Manager(s).

Marketing Communication

• Assist Sales Manager(s) / Assistant Sales Manager(s) in organizing and coordinating events, such as trade exhibitions, road shows, and product seminars.
• Help Sales Manager(s) / Assistant Sales Manager(s) plan and organize internal events, such as dealer meetings.
• Prepare and organize marketing materials and collateral.
• Oversee the maintenance and updating of the company’s website content to ensure it is current.
• Support Sales Manager(s) / Assistant Sales Manager(s) in coordinating with partners of trade magazines and media agencies.

• With 5 years of Customer Support or Sales Support experience.
• Exceptional customer service and presentation skills.

Position Summary:

The Events Services Coordinator at Estilo & Co Events is responsible for overseeing the planning, coordination, and creative styling of events, with a key focus on design. This role requires a highly organised, creative individual skilled in conceptualising event aesthetics, preparing mood boards, sketches, and drawings, and managing client relationships. The role also includes quoting for event styling and handling client inquiries with professionalism and care.

Key Responsibilities:

1. Event Design and Proposal Creation

• Conceptualise and develop event themes and designs tailored to client visions.
• Prepare high-quality mood boards, sketches, and drawings to visualise event styling concepts.
• Utilise design tools like Canva to create polished proposal presentations that inspire clients.
• Ensure all proposals align with brand standards and client expectations.

2. Client Inquiry Management

• Serve as the primary point of contact for client inquiries, providing timely and professional responses.
• Understand client needs and translate them into actionable design and event plans.
• Provide clear, accurate quotations for event styling services and décor elements.

3. Event Planning and Coordination

• Develop detailed event plans, timelines, and schedules.
• Collaborate with clients to ensure all event elements align with their goals and requirements.
• Coordinate with vendors and suppliers for timely delivery of products and services.
• Manage the selection and booking of event venues.

4. Event Styling

• Oversee the execution of event décor, floral arrangements, and styling elements.
• Ensure every detail enhances the overall event experience and meets the agreed-upon vision.
• Maintain a high standard of creativity and innovation in all design work.

5. Team and Vendor Management

• Lead a team of coordinators, stylists, and support staff.
• Assign roles and responsibilities to ensure smooth event execution.
• Build and maintain strong relationships with vendors, negotiating favourable terms.

6. Budget and Financial Management

• Develop and manage event budgets to maximise profitability.
• Monitor expenses and adjust plans to stay within budget constraints.
• Provide accurate quotes and ensure clear communication about pricing with clients.

7. Event Execution and Quality Control

• Oversee the setup, execution, and teardown of events to ensure everything runs smoothly.
• Monitor all elements to maintain high standards of quality and client satisfaction.
• Conduct post-event evaluations to gather feedback and identify areas for improvement.

Qualifications:

• Bachelor’s degree / Diploman in Event Management, Interior Design, Business Administration, or a related field.
• Proven experience as an Event Coordinator or in a similar role, with a focus on styling and design.
• Exceptional creative talent with experience in preparing mood boards, sketches, and drawings.
• Proficiency in design tools such as Canva or similar platforms.
• Strong organisational skills with the ability to manage multiple projects simultaneously.
• Excellent interpersonal and communication skills, both written and verbal.
• Leadership abilities to manage teams and coordinate with vendors effectively.
• Financial acumen to manage budgets and provide accurate quotations.
• Ability to thrive under pressure and meet tight deadlines.
• Flexibility to work evenings, weekends, and holidays as required.

* Review and advise the Project team on the cost impact for variation of project specification

* Site co-ordination and drawing verification where needed

* Monitor projects through completion, providing correction, modification or assistance to other

Support the Project manager to ensure projects are completed on time, within budget, meet *all safety standards and are of highest quality.

Requirements :

• Candidate must possess at least Bachelor's Degree/Post Graduate Diploma/Professional Degree in Quantity Survey or equivalent.
• At least 3Year(s) of working experience in the related field is required for this position.
