Duties & Responsibilities:

• Coordinate the logistical arrangements of all internal community events, internal high profile whole school events and external marketing events.

Job Description & Requirements

1. Assists Project Manager in the co-ordination of project management activities to ensure that projects are executed in a smooth and effective manner;
2. Assists Project Manager in carrying out risk assessment and other risk management activities; makes recommendations on risk control measures; communicating risk assessment to all workers;
3. Ensures all contractors are safety inducted and issued with Permit before work commencement;
4. Ensures the adherence to the safe work procedure (SWP) established; to inform project manager or project director of any shortcoming in the SWP or risk control measures implemented;
5. Resolves site problems proactively in a timely manner and seeks advice from Project Manager as appropriate;
6. Ensures the timely preparation of project progress and other reports.
7. Co-ordinates daily activities of workers’ duties and to ensure that they are performed in a proper manner;
8. Makes daily checks on work progress, housekeeping and safety implementation on site with safety personnel;
9. Order materials required for projects;
10. Any other duties as assigned

Responsibilites:

• Maintaining and monitoring project plans, project schedules, work hours, budgets, and expenditures
• Organizing, attending, and participating in stakeholder meetings
• Documentation and following up on important actions and decisions from meetings
• Preparation of necessary presentation materials for meetings
• Ensuring project deadlines are met
• Determining and assisting in project changes
• Providing administrative support when required
• Undertaking project tasks as required
• Assist in the development of project strategies alongside the management
• Ensuring projects adhere to necessary frameworks and all documentation is maintained appropriately for each project as required
• Assessment of project risks and issues and providing solutions wherever applicable
• Ensure stakeholder views are managed and aligned towards the best solution.
• Facilitate meetings where appropriate and distribute minutes to all project team members
• Adhere to project management calendar for fulfilling each goal and objective

Requirements:
