The Performing Arts Assistant is responsible for providing administrative and practical performing arts support to the Performing Arts Faculty as directed. This person will be quick to learn about the organization and begin to interact with various key stakeholders. The selected candidate should be an experienced team player who brings enthusiasm and a proactive mindset.

Key Responsibilities:

Management

Support the Director of Performing Arts to:

• Deliver against the Performing Arts Department Development Plan key objectives;

Projects and Events

Support the Director of Performing Arts to:

• Coordinate the administration and support the delivery of:

1. Arts Festival Week
2. Orientations and Open Days;
3. Performing Arts Working Parties and meetings;
4. Locally Hosted Events;
5. Support of after-school & weekend Performing Arts activities and co-curricular activities (CCAs);
6. Arts trips and visits (booking tickets, arranging transport, etc)
7. Ad hoc Performing Arts events as advised.

Administration

• Coordinate and submit all departmental claims forms and invoices;
• Coordinate and manage the activities and Performing Arts calendar in line with the whole school calendar to avoid common days of clashing, where possible;
• Liaise with the IT Department with regards to technology packages used within Performing Arts e.g. SchoolsBuddy, School Portal software and iSams etc.
• Coordinate and submit all documentation to SkillsFutureSG with regards to any live performance.

Communication

• Support the Director of Performing Arts to manage the day to day communication of the Performing Arts & activities programme to parents, students and staff.
• With the Director of Performing Arts, marketing of Performing Arts events in coordination with the marketing department;
• Co-ordinate the communication with internal departments: Operations, Facilities, Procurement and Finance regarding the administration of Performing Arts programmes.
• Supporting the Director of Performing Arts with the management of, communication with and compliance of external activity providers, including
• Being the day to day contact for communication, and
• Managing Performing Arts administration matters in coordination with external providers.

General

• To perform tasks assigned by the Director of Performing Arts, as and when required;
• Providing ongoing administrative support for the Director of Performing Arts, Heads of Music, and the Head of Drama as directed;
• Ta assist, as directed, in supporting student lessons.
• Help set up Performing Arts / Drama / music rehearsal and performance spaces as required;

Safeguarding

• Abide by the school safeguarding policy and keep abreast of any changes

Qualifications/Skills

• Minimum Diploma and above or the equivalent.
• Minimum 3 years’ experience working within an international school or other education environment
• Good IT skills
• Ability to prioritize work under pressure
• Excellent communication and collaborative skills at all levels
• Be able to provide support and guidance to staff at all levels across the school community
• Physically fit (to be able to set up performance spaces)

• Manage all documentation related to training services and small-volume contract manufacturing, from quotation through to invoicing.
• Track all customer inquiries and active projects.
• Respond to general customer inquiries.
• Provide administrative support for the department.
• Perform any ad-hoc tasks as needed.

Requirements:

• At least 1 year of experience in an administrative role.
• Proficient in Microsoft Office applications.
• Ability to work independently with minimal supervision.
• Detail-oriented, with strong interpersonal skills and the ability to thrive in a fast-paced environment.
