You will assist superior in managing the department, implementing maintenance schedules, and enhancing the quality of service. You will ensure that all tasks are completed within the specified timeframes, meet security protocols, and align with the objectives set by the department head. Additionally, you will oversee the daily operations of the security team, ensuring strict adherence to security protocols, and respond effectively to any security incidents that may arise.
Administrative Support
• Process leave & overtime forms
• Prepre necessary documents e.g. Purchasing documents
• Spare parts storing and monitoring
• Issue of checklist for Maintenance personnels to conduct routine inspection
• Develop reports for equipment monitoring
• Control the leave application of employees
• Assist to plan for monthly duty roster of maintenance staffs
• Conduct training for subordinates
• Gather request from operations with regards to improving operations
• Request 3 quotations for projects beyond $5k, negotiate on behalf of company for best rates
• Raise PR/waivers/documents as necessary for billing, and invoicing with DO/PR/email endorsement
• Arrange delivery details and security clearance
Personnel
• To monitor and control the defect of M/Cs, equipments and feedback to superiors
• To do the purchasing works for repairing or servicing purposes, such as plumbing components, electrical or mechanical items.
• To assist subordinates in some critical areas, such as electrical problems, M/Cs breakdown.
• To fabricate or modify the fixtures or other areas for supporting operations
• To conduct internal training (on-the-job training) for workers
• To do coordination work between company & contractors, such as quotation works, maintenance works (air-con, MHE, battery repairs)
• To assist subordinates to get ID badge, uniform, safety boots and keep track of their leave records
• To develop procedures or forms for workers to follow up or monitor certain areas such as daily routine inspection lists, M/C checklist
Supervisory Duties
• To arrange routine or daily works for workers
• To ensure the assigned work is completed within specified time
• To supervise the workers on assigned works
• To provide the appropriate knowledge for workers on work
Housekeeping
• Close liaison with housekeeping service contractors to maintain hygiene and cleanliness
• Ensure good housekeeping at repair workshop
• Conduct checks to maintain standards and compliance
Safety
• Implement Risk Assessment for department
• Participate in safety meetings
• Ensure all technicians are briefed on safety near misses
Other
- Work location: 37 Joo Koon Circle, Grocery Logistics of Singapore Pte Ltd
- Working hours: 5 days work week including public holiday and weekend, rotating shifts (7:30am - 5pm/ 12:30 - 10pm / 1:30 - 11pm).
- The position would need to attend to urgent matters outside of working hours too.
Requirements
- Minimally 2 years of leading a team in any facilities settings
- Relevant knowledge in logistics or warehousing facilities will be advantageous
- Additional certifications, such as company CERT team, SCDF FSM certifications will be preferred
- Able to lead team/ work independently
