Job Responsibilities
1. Oversee the end-to-end procurement process of Events Management companies for key club festive events, including Countdown Party, Chinese New Year (CNY), National Day, and Christmas Light-up
2. Develop and manage events contracts, ensuring that all deliverables meet the club’s quality standards and budget
3. Conduct briefings and ensure alignment with vendors on event concepts, timelines, and requirements
4. Monitor event progress and address any on-site issues to ensure smooth execution.
5. Preparation of events logistics and operations, post-event reports and feedback
6. To work hand-in-hand with the Operations teams to ensure that function rooms are fully set-up according to the event order.
7. Oversee registration processes and booking systems for club-wide events across departments, such as Membership Relations (MR), Food & Beverage (F&B), and Sports & Recreation (S&R)
8. Provide regular updates on registration numbers and booking statuses, facilitating cross-department coordination
9. Identify and secure vendors for various event needs, including decor, AV equipment, and entertainment
10. Oversee vendor deliverables and maintain strong relationships to ensure ongoing quality and value
Job Requirements
1. Min Diploma or higher
2. At least 2-3 years’ experience in planning and organizing events
3. Ability to multi-tasks with self-driven attitude, detail-oriented and good time management
4. Strong diplomacy and excellent communications skills
5. Highly proficient in MS Office, Adobe Illustrator and graphic design tools such as canvas
6. Candidate must be creative, trend awareness, up to date with social media trends and viral content
7. Familiar with video editing tools and recording equipment
8. Excellent verbal and writing skill
9. Outdoor/large-scale events experience an advantage
10. Proven track record in creating and delivering successful events and video clips
