Overview

Reporting to the Head, Insight and System, RHS Office (RHSO), the appointment holder will help to manage and support the development of digital engagement plans and projects with HealthierSG (HSG) Customer Relationship Management (CRM) system and learning management system. Job Description

The Global Centre for Asian Women’s Health (GloW) aims to build a global research platform for transdisciplinary endeavours to address major health concerns over a woman's lifespan and across generations. Through its main hub in Singapore, the Centre will engage in multi-disciplinary research to promote women’s health, including a series of diet and lifestyle intervention studies.

Purpose of the role

The project coordinator/manager will play a key role in dietary intervention studies by actively managing and coordinating diet and lifestyle intervention studies in GloW. Responsibilities include development, implementation and monitoring of meal plans, educating participants as needed, collecting dietary data, and performing administrative duties to ensure the studies’ success and compliance. The staff will work closely with Principal Investigators of intervention studies, collaborate closely with the research team, food service team, and other relevant stakeholders, as well as undertake other ad-hoc responsibilities assigned by the Centre’s Director as needed.

Main Duties and Responsibilities

The staff will hold a few key responsibilities, including

(1) Intervention study coordinator:

• Recruit and interview study participants for the intervention study
• Implement methods for collecting dietary data, including detailed food intake records and compliance monitoring.
• Conduct regular assessments to evaluate participants' nutritional status and document any deviations from prescribed diets.

(2) Nutritional Intervention study monitoring:

• Monitor food/nutrient composition for meals developed for intervention study

Job Title: Office Manager (Maternity Cover)

We are seeking a proactive and highly organised individual to join our team as an Office Manager for a 4-month maternity leave cover. This role will require weekend availability. Training will be provided to ensure a seamless transition.

Position Overview:

As the Office Manager, you will play a key role in overseeing the day-to-day operations of the swim school, ensuring a high standard of customer service and operational efficiency. This position involves managing administrative duties, coordinating staff schedules, handling communications, processing invoicing, assisting with payroll, and providing support across various facets of the school’s operations. Additionally, the role requires weekend work to ensure smooth functioning during peak operational times.

Key Responsibilities:

• Manage day-to-day office tasks which includes answering phone calls, responding to emails, and handling customer inquiries on social media platforms (Instagram and Facebook).
• Provide excellent customer service, addressing concerns, answering questions, and ensuring a positive experience for all students and families.
• Update the CRM system with relevant information, such as upcoming blackout days and monthly announcements, ensuring all stakeholders are informed of important events and changes.
• Communicate critical updates regarding pool closures, coach substitutions, class cancellations, and other key information to all relevant stakeholders in a clear and timely manner.
• Track coaches annual leave, assist with arranging substitute instructors and managing any adjustments to the class schedule when necessary.
• Generate and send monthly invoices to parents via the CRM system.
• Track and manage coaches' hours, ensuring the accuracy and timely submission of timesheets.
• Facilitate the onboarding process for new staff members, ensuring they are properly integrated into the team.
• Oversee the general organisation of the office and ensure that all necessary supplies are stocked.

Qualifications:

• Proven experience in office management, administrative support, or similar roles (experience in educational or customer service settings is preferred).
• Strong organisational skills and the ability to multitask and prioritise effectively.
• Excellent communication skills, both written and verbal.
• Comfortable working on weekends, ensuring smooth operations.
• Friendly, approachable, and customer-focused, with the ability to work well with both staff and families.
• Ability to work independently and as part of a team.

Working Hours:

• Full-time role with a commitment to weekend shifts. Typical working hours are:
  • Weekends: 8:00 AM – 6:00 PM
  • Weekdays: 9:00 AM – 6:00 PM
• Off Days: 2 weekdays off

Compensation:

• Salary will be commensurate with experience.

• In this role, you will be leading the business and growth development of all brands and marketing activities. You are accountable for the overall expenses and profitability of the product segment. To have in-depth knowledge of business products, value proposition and identifying and mapping business strengths and customer needs.
• You will be managing the training and development of the sales team in Singapore in developing their team strategies. You will be responsible for managing, servicing, and maintaining good business relationships with all customers.
• Through monitoring of market trends and customers, you will contribute by making recommendations or developing strategies to better position the team and resources to deliver optimal results. Researching new business opportunities and viable income streams.

Requirements:

• Bachelor's degree in Life Science, Biotechnology, Biomedical, Medical Science or related studies
• At least 5 - 8 years of relevant sales or sales management experience in the same industry
• Experience in Clinical Diagnostics segments or Animal Cell Culture Research, Pre-Analytical Chemistry and Infectious Diseases Diagnostics, Histopathology. Biochemistry, Microbiology, Hematology and molecular laboratories
• Strong analytical and management skills
