Main Responsibilities
- Support regional advisory boards including organizing calculators for speakers, obtaining HCC and local Professional Education approval for engagement, post-event surveys generation & results collection
- Support regional Professional Education in regional symposiums, conferences, events including organizing international travel for speakers, vendor creation, obtaining HCC (Healthcare Compliance) approval for engagement, calculators, logistics coordination with local team and/or vendors where relevant, processing of payment to HCPs, closure of HCC One Vision requests.
- PR and PO creation and processing, liaising with vendors. Taking full ownership of quarterly and year end accruals
- Maintenance of Professional Education dashboards and refresh the professional resources hub stats sheet monthly
Digital education platforms
Platform Users
- User Administration for APAC Region: Oversee user roaster management across Singapore, Malaysia, Thailand, Vietnam, Indonesia, Philippines, Korea, Hong Kong, Taiwan, AUNZ, China, India, and Japan.
- New Hire Onboarding: Add new hires to platforms and troubleshoot as needed.
- Weekly Winners Management: Handle award distribution for weekly winners, coordinating with vendors for rewards/gifts.
Axonify Content
- Collaboration: Facilitate communication between the Axonify team & Sales Training Managers to share relevant content for developing Key Learning Points (KLPs) and questions.
- Tracking: Monitor and follow up on KLP and question development progress.
Translations (All Learning Assets)
- Coordination: Manage content translations between Korea, Taiwan, Japan, China, and translators, ensuring smooth communication between document owners and translators.
- Market Routing: Submit translated materials for local market approval and coordinate delivery of market-specific content with Training Managers.
Veeva Administration (All Learning Assets)
- Placeholder Creation: Create document placeholders in Veeva and manage end-to-end approval processes.
- Approvals & Updates: Handle rush approvals for urgent documents, address stakeholder feedback, and resubmit as needed.
- Document Management: Maintain a master file of Veeva documents with expiry details and initiate renewal processes 60 days before expiration.
- Vendor Coordination: Partner with vendor for document renewal submissions, sharing necessary source files and ensuring smooth collaboration.
Annual Online Knowledge Assessment
- Scheduling: Send calendar invites and manage scheduling for annual assessments.
- Administration: Oversee the administration process of annual knowledge assessments.
General Administration
- Result Tracking: Periodically update training score trackers and upload results to the Sales Training SharePoint site.
- Logistics Support: Arrange materials, print workbooks, coordinate DHL shipments, and manage animal eye orders for training sessions.
Finance (POs and PRs)
- Procurement & Finance: Manage purchase orders and payment processes, reconcile accounts quarterly, and resolve payment issues
- Follow-ups: Liaise with the R2P team to ensure timely purchase order approvals and payments.
Requirements
- Degree in any field with minimum 2 years of experience in corporate events management, executive assistant or admin roles
- Experience with VEEVA, Ariba, health care compliance are preferred
- Proficient in Microsoft Office
