Job Description - F&B Admin Executive:

• Purchase Order – Review the PO and approve in the ERP system
• Receiving – Verify and approve in the ERP system
• Monitor and Report F&B Spending, COGS to outlet leaders
• Following up on the deliveries
• Sourcing – new or alternative products
• Price Comparison and price negotiation
• New Account opening for new supplier
• Data updating in ERP system – new code (SKU) creation, recipe updates
• Liaison with suppliers
• Coordinate with operations team
• Coordinate with finance department on various issues
• Work with retail buying team to conduct cost analyses and set benchmarks for continuous improvement, monitoring and controlling cost
• Assisting on the month end stock take
• Updating the latest market list of suppliers
• Other ad hoc task as assigned by Head of Department

Requirements:

• At least 3 years relevant work experience, preferably in the F&B industry
• Strong sourcing and negotiation skills
• Systematic and process driven
• Able to work well under pressure and tight deadlines
• Good knowledge of Excel, Word and PowerPoint
• Strong supplier contacts within the industry would be a plus
• Self-discipline, detailed, attentive, willing to learn and able to work independently with minimum supervision

What You Will Be Doing

The successful candidate will administer and manage SUSS's academic programmes, support examination activities and take charge of the School's student activities as well as external liaisons.

• Coordinate student recruitment activities, school activities and student interviews
• Support examination and assessment-related matters including liaison with programme/external examiners/associate faculties/supervisors, Head of Programme and Examination Administration Department
• Liaise with course writers and developers on course development matters
• Liaise with external partners associated with the programme(s)
• General administrative duties such as collation of data, preparation of reports, information updates
• Organise events for students, marketing, talks, social and promotional events, etc.
• Manage ad-hoc projects

Job Requirements

• Degree holders with 1-2 years' relevant working experience
• Mature, meticulous and possess high level of discretion and integrity
• Effective interpersonal skills with excellent command of written and spoken English
• Resourceful team player who is able to work independently and display initiative
• Proficient in Microsoft Office applications and analytical skills like Excel spreadsheet computations and do data collation
• Ability to communicate well so as to act as liaison and help reach out to stakeholders, such as industry partners, Associates, and establish leads for new industry partners
• Proficiency in written and spoken Mandarin as the incumbent will be required to communicate & liaise with overseas students from China

Position Overview:

The Procurement Executive will play a key role in sourcing, negotiating, and procuring food and beverage products, ingredients, packaging materials, and other essentials for the company. The ideal candidate will ensure timely supply of high-quality products while optimizing cost and maintaining strong supplier relationships. This role is critical in supporting business operations, maintaining inventory levels, and ensuring compliance with food safety and quality standards.

Responsibilities:

1. Sourcing & Vendor Management:

• Identify and source food and beverage products, ingredients, packaging materials, and other goods required for the company’s operations.
• Develop and maintain relationships with local and international suppliers.
• Evaluate supplier performance based on quality, delivery, pricing, and service.
• Negotiate pricing, terms, and contracts with suppliers to ensure cost-effectiveness and favorable terms.

2. Inventory Management:

• Monitor stock levels and manage inventory to avoid shortages or overstock situations.
• Coordinate with the operations team to forecast demand and plan procurement activities accordingly.
• Maintain accurate records of procurement, inventory, and supplier agreements.

3. Quality Assurance & Compliance:

• Ensure all procured goods meet the company’s quality standards and are compliant with food safety regulations (such as HACCP, ISO standards, etc.).
• Collaborate with the quality assurance team to conduct regular supplier audits and ensure adherence to product specifications.

4. Cost Optimization:

• Implement strategies to minimize procurement costs without compromising on quality.
• Continuously review market trends and fluctuations in raw material prices to make informed purchasing decisions.
• Identify opportunities for cost reduction and process improvements in the procurement function.

5. Cross-functional Collaboration:

• Work closely with the production, operations, and finance teams to align procurement strategies with business needs.
• Coordinate with the logistics team to ensure timely delivery of goods.
• Liaise with marketing and R&D teams to source new ingredients and packaging for new product development.

6. Documentation & Reporting:

• Prepare and maintain procurement reports, purchase orders, contracts, and invoices.
• Track and report on key performance indicators (KPIs) related to procurement, such as cost savings, supplier performance, and order accuracy.
• Ensure compliance with the company’s procurement policies and procedures.

7. Risk Management:

• Identify and mitigate risks related to supply chain disruptions, such as vendor shortages or regulatory changes.
• Develop contingency plans to ensure continuous supply of essential products in case of emergencies or unforeseen circumstances.

8. Sustainability Initiatives:

• Support the company’s sustainability goals by sourcing eco-friendly and sustainable materials.
• Collaborate with suppliers to reduce environmental impact in the supply chain.

Requirements:

• ** Applicable to Singaporeans only due to quota limitations
• Diploma or Degree in Supply Chain Management, Procurement, Business Administration, or a related field.
• For Procurement Executive: 2-3 years of experience in procurement or a related role.
• For Procurement Assistant: 1-2 years of relevant experience or entry-level candidates with a strong interest in procurement.
• Familiarity with procurement systems (SAP, Oracle, or other procurement software).
• Strong analytical, negotiation, and communication skills.
• Attention to detail and ability to manage multiple tasks simultaneously.
• Proficiency in Microsoft Office (Excel, Word, PowerPoint).
• Knowledge of local and international procurement regulations is a plus.
• Bilingual in English and Mandarin (preferred) for liaising with suppliers.
