The Operations Executive plays a crucial role in ensuring the smooth and efficient execution of our bunkering operations, focusing on vessel scheduling, daily operations, conflict resolution, and customer relationship management. This position requires a detail-oriented and organized individual with strong communication and problem-solving skills. The Operations Executive will collaborate closely with various internal and external stakeholders to ensure timely deliveries, accurate documentation, and optimal resource utilization.

What you will be doing:

Data Management:

• Ensure all data is entered accurately and promptly into the company's systems.
• Maintain up-to-date records of deliveries, and inventory.

Bunkering Coordination:

• Coordinate with shipping agents to obtain accurate vessel ETAs.
• Liaise between charterers and the shipping team to ensure smooth communication and alignment.
• Address any issues that may arise and mediating the situation

Vessel Scheduling:

• Efficiently schedule vessels to meet delivery timelines and optimize resource utilization.
• Coordinate with port authorities, agents, and other stakeholders to ensure smooth vessel operations.

Daily Operations Management:

• Oversee daily operations, including loading, unloading, and vessel movements.
• Monitor vessel performance and address any operational challenges.
• Ensure compliance with safety regulations and company procedures.

Conflict Resolution:

• Effectively manage conflicts and disputes related to bunkering operations.
• Liaising with internal and external stakeholders to reach mutually agreeable solutions.

Customer Relationship Management:

• Build and maintain strong relationships with customers.
• Address customer inquiries and concerns promptly and professionally.
• Ensure customer satisfaction with our bunkering services.

Duty:

• Rotational 24-hour duty, primarily being on standby
• Responsible for providing support and addressing urgent issues.

• Previous weighbridge experience is more advantage;

Responsibilities:

• Able to handle all aspects relating to the accounting functions to facilitate the closing of the full set of accounts (eg: GL, AP, AR, Bank Reconciliation, etc).
• Maintain accurate and up-to-date financial records.
• Prepare and send invoices to customers and follow up on overdue payments.
• Process and pay supplier invoices, ensuring timely payment and accurate recording.
• Reconcile company accounts, including bank statements, credit card statements and employees expenses claims.
• Communicate with customers ad suppliers regarding financial matters, including payments, invoices and credit notes.
• Assist in performing financial analysis, including budgeting, forecasting and variance analysis.
• Assist in preparing financial statements, including balance sheets, income statements and cash flow statements.
• Assist in preparing for audits and providing information to auditors as needed.
• Assist with additional tasks or projects as assigned by the management.

Requirements:

• Diploma or degree in Accounting, Finance, or a related field.
• Minimum 2 years of relevant experience in AP, AR and Accounting processes.
• Knowledge of Sage accounting software will be an advantage.
• Team player with good communication skills.
