· Ensure that all building systems comply with safety regulations and industry standards, including fire safety, electrical safety, and environmental health requirements.

2. Technical Support & Expertise

3. Vendor & Contractor Management

· Liaise with external contractors, service providers, and vendors to ensure the timely and quality delivery of services and products.

· Supervise contractors performing maintenance, repairs, or upgrades to building systems.

4. Documentation & Reporting

· Maintain accurate records of maintenance activities, inspections, and repairs.

· Produce regular reports on the condition of building systems, equipment performance, and completed maintenance work.

· Assist in preparing budget estimates and cost forecasts for maintenance and operational needs.

Qualifications & Skills:

Education:

· Diploma/Higher Nitec/Nitec in Facilities Management, Mechanical/Electrical Engineering, Building Services, or a related field (or equivalent work experience).

Experience:

· Minimum 3–5 years of experience in facilities management, building maintenance, or a related technical field.

· Experience with building systems such as HVAC, electrical, plumbing, and fire systems is required.

· Prior experience in managing maintenance schedules and supervising contractors is a plus.

Technical Skills:

• Proficient in the operation, repair, and maintenance of building systems.

We are currently recruiting for a talented individual to join our team of finance professionals as a Accounting Officer. You will be an integral part of the finance function, reporting directly to the Finance Manager.

Your responsibilities will encompass covering the full spectrum of the accounts function, which includes:

Accounts Receivables:

Ø Responsible for obtaining timely payments from customer within agreed payment terms and reducing accounts receivable outstanding.

Ø Perform day to day accounts receivable transactions, including verifying, classifying, posting and recording accounts receivable data.

Ø Reconcile the accounts receivable ledger to ensure that all payments are accounted for and properly posted.

Ø Verify discrepancies and resolve billing issues.

Ø Issue credit note.

Ø Facilitate payment of invoices due by sending bill reminders and contacting customers.

Ø Generate statements of accounts detailing accounts receivable status.

Ø Other ad-hoc duties assigned by superior.

Accounts Payable:

Ø Prepare and collate supporting documents for payment setup.

Ø Match payments in the accounting system.

Ø Maintain digital copies of the payment documents.

Ø Perform reconciliation of statement of account between company and the insurers.

Ø Investigate, sort, liaise and resolve reconciling items.

What We Look For:

Ø Minimum Diploma in Accountancy.

SPECIFIC MAJOR RESPONSIBILITIES

• Reporting to the Operations Manager daily to check of the delivery schedule and case that has been assigned to
• Verifying that goods delivered are as per customer’s specified requirements on-board the vessel against a checklist (D/O)
• Verifying that goods delivered on various transportation modes (i.e. trucks and boats) to the final destination of the vessel are properly accounted through the W6 form
• Driving delivery vehicles when schedules and skills permit so
• Ensure that the handling of the goods does not compromise quality especially during transfer (from truck to supply boat or truck to vessel or supply boat to vessel) when present
• Supervising labourers and subcontractors during the loading and unloading of goods on board supply boat and vessels and ensuring the proper handling of goods are maintained at all times
• Attending and resolving any problems, requests and issues raised by vessel’s Master or Officers. In the event of an issue, the Boarding Officer will commence mobile communication with the operations, warehouse, sales and purchasing departments on an instant messaging platform (ie. Whatsapp)
• Verifying with the vessel’s Master or Officers that certificates for products (if any) has been received and contact purchasers if there is a discrepancy
• Creating a WhatsApp group chat consisting of the relevant stakeholders (Operations, Sales, Purchasers and Owner’s Goods) to ensure timely and accurate information flows both ways
• Within 24 hours (target) of delivery, the boarding must submit the following:
• Performing the role of a public relations representative for the company.
