Artificial Intelligence team has experienced professionals taking on challenges posed by the SAP customers. Based in Singapore, you will have the opportunity to work on breakthrough projects addressing real-world problems, challenging norms with some of the SAP’s key customers. Purpose and objectives
As an Administration Associate/ Associate Developer Support Specialist, you’ll collaborate with a diverse team of AI developers, scientists, data engineers, DevOps engineers, and architects to build best-in-class AI products. You will serve as a key operational pillar, supporting local leadership to meet fixed timelines. Success in this role will be measured by your ability to deliver initiatives with top-notch quality, such as enhancing operational efficiency and team productivity.
Expectations and Tasks
Operations Support Responsibilities
- Collect and maintain department Internal Orders and Transfer Project details
- Coordinate Legal documents, NDA's, third party contracts with the regional and SAP AG Legal departments
- Support budget planning, tracking, and processing of expense reports, internal cross charge and vendor payments.
- Coordinate and assist team with IP and Patent matters
- Assist in organizing training sessions, managing registrations, and maintaining learning and development records.
- Coordinate team events, liaising with vendors for catering and logistics.
- Maintenance / update of team shared folders, workzone page, distribution lists, and internal communication channels e.g. Slack, MS Teams Channels, etc.
- Organize team meetings, all employee meetings, and other types of events.
- Maintenance of team assets, documents, lockers.
- Act as a central contact person for all employees in the department and provide ad-hoc support if needed.
- HR & Recruiting Operations Responsibilities
- Understand HR & Recruiting principles and act accordingly
- Responsible for necessary administrative tasks associated with this role in collaboration with other HR teams as necessary
- Dealing with enquires (phone, email) related to HR & Recruiting process in an efficient and professional manner
- Facilitate the onboarding process for new hires, including laptop procurement, lockers assignment, and distribution list management, training arrangement, etc.
- Manage the offboarding process, including locker assignment removals and checklist processing, etc.
- Coordinate and support Center’s Internship, PhD scholar and other research and academic programs
- Track project milestones, including following up with researchers and research partners including Universities
Executive Assistant Support Responsibilities
- Coordinate and interact with executive assistants inside and outside SAP as a regular part of the job.
- Support managers with administrative assistance (e.g. scheduling of meetings, meeting infrastructure like conference room booking, facilities booking, travel management etc.)
- Prepare meeting agendas, create and distribute meeting materials, taking meeting minutes, send follow-up communications and tracking action items.
- Assist oversea executives visit in Singapore (plan meeting agenda, booking of meeting rooms, events arrangement, etc.)
- Collaborate with other departments to plan and execute local or regional activities.
EDUCATION AND QUALIFICATIONS / SKILLS AND COMPETENCIES
- Degree in Information Systems, Finance, HR, or Business Administration (or equivalent).
- Strong in organization, planning, collaboration, and execution
- Excellent communication skills: oral, written, and in presentations.
- Proactive and Self-motivated with ability to work independently within a complex and high-pressure environment
- Excellent social and emotional intelligence quotient
- Strong knowledge of all aspects of MS Office, especially Outlook, PowerPoint, and Excel
- Strong ability to prioritize and deliver quickly with high sense of responsibility
- Self-learner with out-of-the-box ideas and proposals
- Ability to multi-task and deliver highest quality work under time constraints in global environment
- Flexible and capable of multi-tasking/managing a broad variety of tasks and topics
- High level of integrity and confidentiality
WORK EXPERIENCE
- 1 - 3 years of operations and administration experience
- Knowledge of internal systems at SAP (such as ISP, CSS, SAP Corporate Portal etc.) would be advantageous
- Work experience at an executive assistant (EA) level position in technology or consultancy industry is preferred
