• Acting as backup cover, on a needs basis, for the Executive Assistant to President and the Office Manager.

• A university degree or equivalent with at least 15 years of relevant work experience in a similar capacity, would be required.

RESPONSIBILITIES

• Manage President's calendar, including liaising with relevant units on scheduling of annual university events, regular meetings such as Board of Trustees meeting etc. and update meetings with direct reports.
• Point of contact for President's external appointments; including submission of President's Disclosure of Interests, where applicable.
• Prepare meeting files for all meetings, internal and external.
• Coordinate with relevant units to prepare President's travel programme and travel folder.
• Plan President's annual leave and submit leave application.
• Updating President's cv, external appointments, speaking engagements and travel schedule (in President's shared folder).
• Coordinate driver's daily schedule to support President.
• Act as backup cover, on a needs basis, for the Assistant Director and the Office Manager.
• Other administrative duties as may be assigned from time to time.

• A university degree or equivalent but in the absence of a degree, a diploma and/or a professional executive secretary qualification, coupled with at least 15 years of relevant work experience in a similar capacity, would be required.
• Candidates with experience in working with C-level executives would have an advantage.
• Used to a fast-pace and can handle high volume of work.

Key Responsibilities include but are not limited to:

• Assist in the coordination and facilitation (includes pre-visit, during visit and post-visit) of school programmes;
• Manage school programmes bookings and ensure smooth running of these programmes;
• Engage educators in a positive and professional manner while attending to their enquiries and during their visits;
• To be equipped with good product knowledge of school programmes available;
• Maintain accurate administrative records and documentation for school programmes, including survey feedback tabulation;
• Coordinate logistics needed for school and public programmes, including venue booking, preparation of programme materials, setting up of programme venue, contacting Museum Facilitators, and stock taking;
• To assist in other tasks such as getting quotes and sourcing of event/programme materials and services as assigned by Audience Engagement Team.

Requirements:

• Diploma or equivalent qualification in a relevant field such as Education or Arts Management,
• Strong organisational and time management skills
• Good written, communication and interpersonal skills
• Confidence in speaking to people, including hosting teachers and interacting with children and caregivers during programmes
• Able to use good judgement and discretion and maintain calm demeanor in high volume or stressful situations
• Proficiency in Microsoft Office Suite E.G. Word, Excel, PowerPoint
• Ability to work independently and a good team player
• Prior experience in programme administration/education would be a bonus

• Overseeing the preparation of essential reports and written materials for major gift fundraisers, such as gift agreements and terms of references, and to upload to the necessary systems.
• Assisting the communication and marketing specialist in packaging customized proposals.
• Implementing a consistent due diligence process on prospects and donors to mitigate reputational risk to SMU and comply with MOE and IPC's corporate governance policies.
• Ensuring the accuracy of stewardship reports and conducting thorough third-eye checks.
• Coordinating events aimed at enhancing donor involvement, cultivation, and stewardship.
• Supporting and coordinating events involving donors across various schools, offices, institutes, and centers of the University.
• Assisting the VP/Director of the Office of Advancement in drafting different management reports.

• Diploma or Bachelor's degree with a minimum of 8 years of demonstrated excellence in administrative work, CRM and communications.
• Excellent proficiency in Microsoft Office Suite and CRM systems (e.g., Microsoft Dynamics, Sharepoint, Raisers' Edge).
• Strong organizational and administrative skills, with familiarity of fundraising operations.
• Creative and critical thinker able to gather, infer and synthesize information from multiple sources systematically and coherently.
• Strong, detail-oriented, multitasking skills, with the capacity to handle multiple projects and support a variety of personnel whilst ensuring accuracy and compliance in all administrative processes.
• Ability to find solutions and navigate the nuances and interpretations of external policies and internal guidelines to support advancement work.
• Experience working with large, complex databases preferred.
• Demonstrate a strong work ethic and excellent written and verbal communication skills.
