The Operations Executive supports the day-to-day management of service apartment operations, ensuring smooth functioning, guest satisfaction, and compliance with Company standards and regulations. This role involves overseeing the housekeeping, maintenance and guest services, while coordinating with various teams to maintain quality of service.

Main Responsibilities

• Coordinate daily operations, including housekeeping, maintenance and front of house guest services
• Assist in scheduling and supervising housekeeping and maintenance teams to ensure timely task completion
• Supervise/Address guests' enquiries, requests and feedbacks professionally and promptly, ensuring guests' and stakeholders' satisfaction
• Conduct daily inspections of apartments and common areas to ensure cleanliness, functionality, and adherence to Company standards
• Monitor inventory levels of supplies and amenities, as needed to avoid shortages
• Prepare daily, weekly, and monthly reports on occupancy, maintenance issues, and guests' feedback and site incidents
• Supervise/Handle administrative tasks, including updating records, processing invoices, delivery orders and maintaining documentation
• Carry out other tasks and responsibilities as delegated by the Supervisor or Management

Requirements

• Minimum 2 to 3 years of experience preferably in or service apartment or facilities management industry

The core responsibilities of Operations Manager in Singapore include leading initiatives to enable new businesses & optimize platform, and working closely with Trading Groups as well as with wider Core Infrastructure teams to contribute to the continued growth and success of the business in the region. The role involves managing operational risk, pnl, and valuation processes as well as the daily trade lifecycle of trading activities of all portfolio managers trading Equities, Fixed Income, FX and Commodities products across APAC region. The candidate will work closely with key stakeholders and senior management across departments in the region and globally, and also with external counterparties to enable business and improve processes on ongoing basis.

Candidate should be able to work in a fast-paced environment and one that is continually changing. The successful candidate will be a self-starter with strong organizational and communication skills.

Principal Responsibilities

• Provide daily coverage and be primary contact for portfolio managers and trading groups locally on the ground, ensuring accurate trade capture, monitoring intraday pricing activities across all asset classes and resolving any issues that relates to pnl, position, technology, risk and security related issues
• Analyze processes to enhance operational efficiency & controls, and participate in ad-hoc projects; work with internal stakeholders including global Ops/IT and wider Core Infrastructure teams to implement new systems and workflow, with particular focus to pnl and valuation matters
• Full Product Coverage: Futures, Options, FX, Bonds, IRS, Cash Equities, Equity Swaps, Convertible Bonds and other OTC Derivatives
• Run ongoing analytics to identify trends and gaps, devise formal governance over recurring issues and provide necessary analysis and evaluation for Ops Management
• Liaise with brokers, external counterparties and vendors on ongoing basis to resolve issues and improve procedures

Qualifications/Skills Required

• Bachelor’s Degree
• Min 10 years of relevant operational and/or valuations experience in financial services
• Strong knowledge of full product life cycle, ideally across multiple products; at a minimum must have strong/detailed knowledge of at least two products: equities, futures, FX, bonds, interest rates derivatives, credit derivatives.
• Good working knowledge and experience in running pnl calculations and processes, with emphasis on pricing and valuations
• Ability to drive and lead process change; able to prioritize in a fast moving, high pressure, constantly changing environment
• Strong interpersonal and communication skills; ability to work collaboratively with wider teams internally across regions as well as with external counterparties and providers
• Quick learner, highly analytical and strategic thinker; understands financial products and has the ability to grasp new concepts around products and processes quickly
• Self-starter, solid organizational skills, ability to multi-task effectively and work independently
• Detail-oriented; demonstrable thoroughness and strong ownership of work
• Knowledge in SQL, Macros/VBA or relevant coding languages to perform analytics and build tactical solutions a strong plus

Operations Duties

• Terminal Cost Calculation: Calculate container/Cargo terminal costs based on operational requirements and relevant cost factors. Take responsibility for maintaining an accurate operational list, which includes capturing all chargeable units and those of partner slot units. This involves doublechecking data entry and verifying information to maintain data integrity.
• Collaboration with the Operational team, Finance team, and Digital team to gather necessary information, resolve any discrepancies, and ensure timely and accurate reporting.
• Maintain proper documentation of terminal costs and prepare reports which may include cost breakdowns, variance analysis, and trend analysis to improve the accuracy and efficiency of cost calculations, and reporting process.
• Verify and Issue POs under SAP for operational purchase pertaining to crew expenses and all other 3rd party principals outside of the Company.
• Assist operations team on other Solver minds CVP modules.
• Liaise with Treasury on issuance of banker’s guarantee for regulatory Authorities such as ICA, and cargo terminals.
• Facilitating cash to master in liaison with Operations and Treasury.

Finance Duties

• Prepare and post journals for month-end close (i.e. agency revenue, crew advances/bonus, logistics expenses reclassifications, and all adjustments relating to Agency). He or she is required to work independently and has a comprehensive understanding of GL codes and apply the necessary parameters for different financial transactions.
• Institute agency fee recoveries against Ship Management for services rendered pertaining to crew change fees and expenses.
• Liaise with other 3rd party principals and AR on agency fees and cost recoveries pertaining to agency services rendered in respect of crew change and other cost outlays incurred on behalf of such principals. This includes performing reconciliation, matching and clearing of GL account.
• Assisting the Operations team in monitoring and extracting invoices in relation to cost recovery.
• Extracting and sorting of PSA/PSA Marine invoices on a regular timely basis. This includes assisting AP to identify the cost center and advise AP on the ownership of the bills.
• Work with AP to ensure prompt process of vendors’ invoices including highlighting areas of concern and resolution on disputes.
• Resolve Cost team’s queries on voyage cost and vendor management.
• Analyse port rebates in PSA and JP in accordance with the Port Agreement/Contracts.
• Compute/distribute the apportioned proceeds across the relevant trades.
• Prepare monthly Admin Cost variance reports including highlighting exceptional cost to reporting managers.
• Prepare yearly admin budget and review quarterly admin re-forecast.
• Provide any other statistical reports as and when required.

Admin Duties

• Collate the Agency Monthly Performance (KPI) in consultation with the HODs as part of the monthly review exercise on our agency performance.
• Maintain and Update the Share Point page for the Agency Department.
• Manage the storage of documents within the agency and when required, to arrange proper labelling on documents for off-site warehouse storage. Periodically to review the documents stored off-site and where it is practical and permitted, conducts disposal of such documents.
• Assist the Agency dept in all admin functions including, season carpark renewal for agency staff, stationery needs, general upkeep of the agency area.
• Provide admin support for operations dept (in handling 3rd party principals) including hotel bookings, owner’s expenses payment arrangements, new vendor set-up, etc.

Qualifications

•  Diploma in Business Administration or equivalent.
•  3 years working experience with finance background.
•  Comprehensive understanding or experience with GL codes, independent journal preparation, cost recovery, vendor invoice processing, and financial reporting preferred.

Technical/Professional Skills

• MS Office proficiency.
• Ability to prioritize tasks and work under deadlines to ensure timely delivery of accurate cost information and departmental result.
• Strong attention to detail and analytical skills to accurately calculate and validate terminal costs.
• Shipping experience and/or knowledge of container/cargo terminal operations and related cost factors will be an added advantage.
