Position Summary

This position is responsible for leading a team in the management of warehouse operations to achieve the operations key performance index and the required service standards. This may include managing the warehousing and inventory management system, physical distribution operations, implementing logistics technology, customer liaison and relationship, organization development and training.

Primary Responsibilities

• To lead and manage at least one operation of company’s logistics operations (Warehousing & Transportation) including monitoring and achievement of Operation Key Performance Index i.e. Order Accuracy, Safety, Housekeeping and Security of Operation, Warehouse turn-around-time, Billing and documentation, Inventory Management (Control, Accuracy and level), Overtime Ratio & Labour Productivity.

• Review and management of Revenue & Expense of operations including Continuous monitoring of expenses, Accurate application of revenue, Negotiate and reduce costs on hired contractors, verify and authorize payment(s), Continuous sourcing of contractors,, management & maintenance of assets and maximize profitability.

• Review of Operation status with customers & management on a timely and regular basis.

• Provide management report on operation status and budget figures on a timely and regular basis.

• Manage and Develop the entire operation team which may include; Staff training plan, Recruitment of operations staff, Staff development activity and Ensure efficient communication between inter-departments.

• Managed all related matters pertaining to facility, safety and security issues.

• To maintain good working relationships with customers.

• As required, assist sales team in securing new business, including; conduct of facility tours, presentations on operations, site visits for customers to present capabilities and / or gather data and coordination effort with engineering and IT teams.

Requirement

• Degree in Engineering, Logistics Management, Industrial Engineering, Business or equivalent, Diploma Holders of similar fields are also considered.

• Total 10 years working experience with minimum 5 years in the Logistic Industry, preferred in similar capacity.

• Good working knowledge of the following operations areas – distribution, inventory planning, network analysis, materials management.

Operations Duties

• Terminal Cost Calculation: Calculate container/Cargo terminal costs based on operational requirements and relevant cost factors. Take responsibility for maintaining an accurate operational list, which includes capturing all chargeable units and those of partner slot units. This involves doublechecking data entry and verifying information to maintain data integrity.

He or she is required to work independently and has a comprehensive understanding of GL codes and apply the necessary parameters for different financial transactions.
• Institute agency fee recoveries against Ship Management for services rendered pertaining to crew change fees and expenses.
• Liaise with other 3rd party principals and AR on agency fees and cost recoveries pertaining to agency services rendered in respect of crew change and other cost outlays incurred on behalf of such principals. This includes performing reconciliation, matching and clearing of GL account.
• Assisting the Operations team in monitoring and extracting invoices in relation to cost recovery.
• Extracting and sorting of PSA/PSA Marine invoices on a regular timely basis. This includes assisting AP to identify the cost center and advise AP on the ownership of the bills.

Admin Duties

• Collate the Agency Monthly Performance (KPI) in consultation with the HODs as part of the monthly review exercise on our agency performance.

Manage safety of Pest Management Services

• Enforce workplace safety and health (WSH) regulations.
• Assess the risks associated with pest management work on site and establish safety procedures, protocols and guidelines.

• Manage capability development of staff. Analyze and manage incidents and emergencies at work site. Manage and report work-related incident and emergency investigations.

Others

• Participate in tender interviews, customer’s meetings and/or marketing presentations to potential clients to showcase technical capability and experience.
• Attend to other duties as may be assigned from time to time.

THE POSITION: Loan Operations

Key responsibilities:

• Collaborate with the deal team to ensure that operational processes to support loan transactions are in place, including but not limited to, payment and receipt of funds, covenant testing, Conditions subsequent, coverage ratio and any other transaction specific conditions are correctly monitored and actioned
• Collaborate with external service provider and affiliates on fund flow, division of responsibilities, transaction bookings, repayments, rate resets, agency function and transaction specific ongoing information delivery and storage and covenant testing
• First point of contact with borrower and responsible for monitoring the status of loan transactions
• Support the deal team on structuring and due diligence of transactions
• Project task group to select and implement loan management system

Requirements:

• Relevant degree
• At least 5 to 8 years of relevant working experience
• Prior experience in loan / fixed income operations required
• Experienced in using loan management software
