In this role, you are a team player who will assist the HR Team to ensure smooth delivery in all areas of HR services. The main duties and responsibilities of the HR Executive is to provide support to the Associate HR Director in delivering the full scope of HR such as but not limited to:

What you’ll do

• Work alongside with Associate HR Director in full spectrum of HR operation and administration
• Provide support on recruitment activities (job postings/ prepare employment contracts/ work passes application etc.)
• Responsible for all stages of employees’ lifecycle (on-boarding/ off-boarding/ confirmation/ employees’ letters etc.)
• Maintain, upkeep and ensure timely and accurate update of employee personal files, leave records and HR database
• Manage payroll, claims, insurance and benefits administration
• Be part of the employees’ engagement team and see-through execution of all related activities
• Support HR team on general administrative duties
• Respond to general requests/inquiries from employees as and when required
• Ad-hoc projects which will be assigned by supervisor

What you’ll need

• Diploma or Degree in Human Resources Management/ Business Administration
• At least 1-2 years of experience in managing and processing payroll (in-house)
• Possess good interpersonal, communication and presentation skills
• Ability to work in a fast-paced environment, independently with minimal supervision
• Demonstrates a high degree of integrity and maintains confidentiality
• Experience in Times Software will be advantageous

Our Client is a private healthcare provider and they are looking for a dynamic HR professional to join their team.

As part of the Human Resource team, you will be responsible for executing the full range of HR functions, from employee recruitment, retention, engagement, performance management to employee relations and regulatory compliance. You will work closely with the HR leadership team to provide HR guidance and support to business units, in alignment with the organization’s goals.

Primary Responsibilities:

• Partner with Business Unit (BU) Leads / Heads of Department (HODs) in the management of employee life cycle.
• Support and participate in annual performance management processes, including providing guidance and advice on managing performance issues.
• Work with respective HODs on annual budgeting process, understanding each business needs with manpower requirements.
• Provide guidance for the HODs and employees on the application of HR policies, procedures, and standards.
• Execute administration processes related to the full employee life cycle, including but not limited to recruitment, onboarding, work pass management, performance evaluation, re-employment, and offboarding.
• Facilitate employee relations and respond to grievances, complaints, and conflicts effectively and compassionately.
• Update employee profile and benefits timely and accurately in HR systems.
• Safeguard and maintain confidential employee information and ensure compliance with statutory obligations.
• Assist to facilitate monthly Corporate Orientation and office administration such as stationery orders, etc.

Secondary Responsibilities (will be either insurance or payroll):

Insurance

• Ensure timely and accurate processing of insurance claims submissions for employees in compliance with government regulations and company policies.
• Be updated on all company insurance policies, such as Foreign Worker Insurance, Work Injury, Maternity benefits, etc.
• Keep abreast on latest statutory requirements on required regulatory reports (e.g., Work Injury reports to MOM).
• Verify coverage, process policy updates, and issue certificates of insurance as needed.
• Process eligible claims by coordinating with insurance brokers, ensuring claims are submitted for reimbursements within the respective timeframes (e.g., be aware on the stipulated claim window by insurance vendors).
• Update monthly work injury report details to management.
• Liaise with and support in yearly insurance review and renewal.
• Keep updated on industry trends and regulations to ensure compliance.
• Coordinate with internal teams to ensure smooth and efficient processes.
• Perform other administrative duties as assigned.

Payroll

• Ensure accurate and timely processing of payroll for employees.
• Timely and accurate submission of bank transfers, CPF, statutory claims and income tax filing.
• Maintain payroll records and information in an organized and secure manner.
• Review employee attendance records and validate compensation information.
• Investigate and reconcile payroll discrepancies to ensure compliance with statutory laws and regulations.
• Respond to employees’ and team’s inquiries regarding payroll information.
• Timely and accurately prepare payroll reports as required.
• Collaborate with the HR team member to ensure timely receipt of employee data to ensure payroll deadlines are met.
• Keep abreast on latest statutory requirements that affect compensations (e.g., CPF contribution rate changes, tax changes).
• Perform other administrative duties as assigned.

Requirements:

• Diploma in Human Resources, Business Administration, or related field.
• At least 2 years of experience in Human Resource role and related field.
• Strong knowledge of employment laws and statutory regulations.
• Excellent communication and interpersonal skills.
• Able to multitask and prioritize in a fast-paced environment, with ability to manage multiple tasks and projects simultaneously.
• Strong organizational and problem-solving skills.
• Proficient in Microsoft Office applications, including Word, Excel, and PowerPoint.

Job Responsiblities:

• Responsible for the preparation and processing of the full spectrum of biweekly payroll.
• Create and maintain employee records in the payroll system and ensure that changes are entered correctly and updated on a timely basis.
• Ensure accurate and timely submission of approvals.
• Assist in generating files for CPF submission.
• Generate reports including overtime, provision bonus as and when required.
• Attend to queries from employees regarding all payroll matters.
• Prepare annual IR8A and tax clearance and submit to IRAS.

Job Requirements:
• Diploma/Degree in Business/HR or equivalent

• Knowledge in Easypay is an added advantage

HR & Payroll Exec will be required to perform full HR and Payroll function independently. Day-to-day support will include administration of paperwork such as Service Agreements and other communications to employees when required. Payroll will be disbursed once a month, inclusive of ad hoc incentives for those who qualify. Any compulsory declarations to government bodies relating to HR and Payroll functions will also be handled by the HR & Payroll Exec.

HR & Payroll Exec will not be required to report to a physical office. However, the Exec will have to attend meetings (physical or online), and provide updates whenever required by company management.

The job of the HR & Payroll Exec is to ensure that all personnel files are updated, all HR policies are followed, and Payroll is always disbursed on time and accurately.

1. Must have min 1 year experience with direct involvement in HR & Payroll processes.
