Core responsibilities:
Medical & Insurance
Ā· Submit, follow up and summarize Work Injury Compensation/Personal Accident Claim & H&S Claim
Ā· Attend MOM/WICA mediation Meeting
Ā· Accompany injured worker to hospital for further treatment (when required)
Ā· Administer worker medical claim disbursement
Ā· Sourcing quotation for insurance policy for workers
Training
Ā· Assist in booking of SOC/Core Trade courses for workers & raise payment voucher for Finance to make payment
Ā· Assist in Training/ Core Trade and claiming from Government Grants (when required)
Workers Admin support
Ā· Assist in worker recruitment & contractual issues (when required)
Ā· Assist in purchase of immigration bond for workers
Ā· Assist in Work Pass Application/ Renewal & Cancellation
Ā· Assist in updating workersā residential address
Ā· Assist in preparing work pass collection at MOM
Ā· Assist on Man-year (MYE) application (when required)
Ā· Set up and maintain workersā P-files
Ā· Safekeeping workersā Passports
Ā· Manage the workers and prepare monthly report regarding workersā strength, etc.
Ā· Foreign Worker Levy Claim for workers on Home Leave/ Hospitalization Leave
Ā· Carry out duties or ad hoc projects that may be assigned by the HR & Admin Executive / HR & Admin Manager / Management
Payroll Administration:
Ā· Process workersā wages, generate and distribute payslips
Ā· Prepare inter-companiesā billings
Ā· Prepare Project Cost Analysis
Ā· Promptly update workersā particulars into database
Ā· Issue advance payment to new workers & recover from payroll
Ā· Arrange opening of bank accounts for new workers
Ā· Upkeep workersā Retention Record monthly
General workers administration
Ā· Assist in Final settlement/Return of WP etc
Ā· Arrangement on workers repatriation
Ā· Arrange for returning of dormitory passes
Ā· Update the Person-in-Charge every month for the latest workersā list staying at dormitory for billing purposes
Ā· Coordinate SOC/Medical checkup/Passport renewal etc
Ā· Employment contract/Orientation/collect PPE/WP
Ā· Arrange for printing of worker pass if necessary
Ā· Update workersā Training Record
Ā· Handle other ad hoc assignment as required
Office Admin
- Manage the newspapers at the reception area and place at CEOās desk
- Manage the tidiness at the reception area and meeting rooms
- Replenish office supplies such as milo, coffee, detergent, etc.
- Prepare beverages for meeting, if necessary
- Upkeep & maintain copier all-in-1 machine tidiness
Others
- Apply, Renew, Terminate Factory Permits & Dormitory Contracts
- Renew Builders & Contractors licenses
- Renew Vehicle Road Tax and Insurance
Job Specifications:
Minimum Educational Qualifications/ Experience required:
Certificate / Diploma in Business Admin/ HR, āAā or āOā levels: Min 2 years of relevant experience (Experience in Building / Construction / Property industry will be an added advantage)
Skills and Knowledge required:
Ā· Good knowledge of Singapore labor Laws, Employment Act, statutory programs and MOM work permit procedure
Ā· Be PC literate and particularly proficient in MS Office Applications including Excel and Words etc.
Ā· Be a team player with good communication & interpersonal skills and capable of dealing people from different cultural and educational backgrounds
Ā· Ability to maintain confidentiality
Ā· Possess good interpersonal and communication skills with all levels of staff & workers
Ā· Strong sense of commitment & urgency to meet tight deadlines
Ā· Good organization skills
Ā· Ability to handle multi-tasks and work within deadlines
Ā· Knowledge of payroll software (such as HRIQ system) would be an added advantage
