Duties and Responsibilities of Document Control cum Admin Assistant
1) Assist Engineer in coordinating all document control activities.
2) Control of Design Project files and customer database.
3) Perform tracking, printing, archiving and distribution of documents.
4) Liaise with each department on the calibration of measuring tools.
5) Update and compilation of Engineering data.
6) Establish and maintain organized paper and electronic filing systems according to office procedures to ensure the expeditious retrieval of information
GENERAL ADMIN
1) Scan office materials, locate and compile information and format reports, graphs, tables, records, and other sources of information
2) Operate and coordinate servicing of office equipment such as copier, fax machine, scanners, etc
3) Coordinate and assist with planning of office activities, teleconferences, meetings and to coordinate events, receptions, workshops, conferences and high-level committee/board meetings as requested
4) Purchase and manage office stationery and pantry inventory
5) Prepare travel expense reimbursements, invoices and journal entries
6) Coordinate travel arrangements and itineraries
7) Provide general administrative support including but not limited to: phones, distributing mail, and preparing expense reports.
8) Maintain the security of confidential information
Education Qualification:
Minimum Diploma
Experience / Skill Required
- 1-3 years experience in Document Control in LTA projects / Civil Engineering / Construction Company
- Good interpersonal and communication skills and able to interact with people of all levels
- Must be able to work on alternate half day Saturdays
- Able to start work within 2 weeks after job offer will have an added advantage
