We are seeking a proactive, detail-oriented, and versatile Executive Assistant (EA) to support the CEO in administrative, financial, and strategic capacities.

Key Responsibilities:

1. Calendar & Schedule Management:

• Organize and manage the CEO’s schedule, including appointments, meetings, and travel arrangements.
• Prepare a weekly priorities overview to optimize the CEO’s time and focus.
• Coordinate with internal and external stakeholders to ensure seamless scheduling.

2. Overseas Entity Setup & Management:

• Support the setup of new entities overseas, including administrative and compliance-related tasks.
• Act as a liaison between the CEO and local teams to address operational requirements, regulatory needs, or ad hoc support.
• Ensure that overseas entities align with company policies and processes.

3. Travel & Logistics:

• Manage end-to-end travel arrangements for the CEO and other key executives, including flight bookings, accommodations, visas, and local transportation.
• Ensure seamless coordination of itineraries and adapt to last-minute changes.
• Maintain a system for tracking and reconciling travel expenses.

4. Operational & Administrative Support:

• Maintain a well-structured system for filing and retrieving critical documents, including contracts, agreements, and reports.
• Track key deadlines and commitments to ensure the CEO remains on top of priorities.
• Prepare meeting agendas, presentations, and follow-up reports.
• Handle ad hoc requests and projects with professionalism and discretion.
• Act as a POC for CEO to oversee the incorporation of new entities across ASEAN, ensuring compliance with local regulations.

5. Stakeholder Coordination:

• Act as a primary point of contact for the CEO, ensuring efficient communication and follow-ups with internal teams and external partners.
• Support strategic initiatives by coordinating across departments and geographies.

6. Cultural Identity & Employee Engagement:

• Build a strong cultural identity by establishing meaningful relationships with all employees.
• Act as a bridge between leadership and teams to promote open communication and trust.
• Support initiatives that enhance employee engagement and alignment with the company’s mission and values.

7. Financial Administration:

• Assist Finance Team with project billings to ensure timely and accurate invoicing.
• Monitor invoices, payments, and cashflows across various entities to maintain financial stability and accuracy.
• Submit claims and expense reports on behalf of the CEO.
• Liaise with finance teams to ensure smooth reconciliations and timely reporting.
• Act as a POC between CEO, HR, Finance and Project Delivery teams to ensure information flow is seamless.

Key Qualifications:

• Bachelor’s degree in Business Administration, Finance, or a related field (preferred).
• Proven experience in an Executive Assistant role with financial or project management responsibilities.
• Strong understanding of financial processes such as billing, invoicing, cashflows, and claims submission.
• Excellent organizational and time management skills, with the ability to prioritize tasks effectively.
• Exceptional communication and interpersonal skills.
• Proficient in Microsoft Office Suite, financial tools, and scheduling software.
• Experience working with multinational teams and supporting regional entities is a plus.
• Discretion and integrity when handling confidential information.
