The successful candidate will handle a portfolio of clients consisting of private local and foreign companies in the provision of corporate secretarial services which includes:

· Attending to clients on routine corporate secretarial matters

· Incorporation of or striking-off of companies

· Preparing the necessary documents re AGM, EGM, board and shareholders’ minutes etc

· Advising on and ensuring compliance with statutory and regulatory provisions

· Being conversant in statutory filings with ACRA and other relevant authorities

· Maintaining necessary statutory records

· The ability to work independently or with minimal supervision

Requirements:

· Undertaken courses in statutory secretarial works, or equivalent qualifications

· Familiar with the Companies Act and related requirements

· Minimum 3 years corporate secretarial experience, desirable

· Proficiency in computer skills

Ain Society is looking for a dedicated and versatile executive to assist in the administration and management of our facilities across three centers, working closely with our admin team on administrative matters, as well as assisting our IT consultant in providing IT support to all staff. The ideal candidate will have a strong administrative background, preferably in administration and/or IT support, demonstrating excellent organizational, problem-solving, and communication skills.

Key Responsibilities

Office and Facilities Administration:

• Work closely with the admin team to perform administrative duties.
• Maintain accurate records of all physical and fixed assets, including acquisition, allocation, maintenance, and disposal, using our asset management online system.
• Regularly inspect facilities to ensure they are properly maintained and accounted for.
• Assist in developing and implementing policies and procedures for facilities management, ensuring compliance with relevant regulations and standards.
• Coordinate with vendors and service providers for facilities/asset procurement, maintenance, and repairs.
• Work closely with our outsourced IT consultant to perform various IT solutions, including addressing hardware and software issues in a timely and efficient manner.

Project Management and Other Duties:

• Assist in the planning and execution of special and adhoc projects and initiatives.
• Assist the logistics team for event logistics and materials preparations.
• Ensure events are executed smoothly as and when required.
• Any other duties as assigned by the Management.

Responsibilities and Duties:

· Manage Scheduling and Calendars: Oversee and coordinate the CEO’s calendar, ensuring efficient time management and prioritization.

Job Requirements:

JOB SUMMARY

Responsible for sales support administrative matters.

JOB RESPONSIBILITIES:

• You need to handle telephone/online catering sales enquiries.

• Establish client relationship and build rapport.

• Able to generating of new corporate clients through cold calling.

• You need to assist clients in event planning, packaging and menu selection.

• You need to prepare event order according to established S.O.P.

• Maintain all Catering and Conference files in accordance with established procedures and standard.

• You need to prepare monthly sales reports for Heads of Department.

• Conduct daily briefing on latest promotions.

• Lead and mentor a team of sales coordinators to achieve monthly sales targets.

JOB REQUIREMENTS:

• You must have a “O” Level / Diploma in the Hospitality industry.

• You must have a minimum 2 years of experience in corporate sales will be an advantage.

• Able to converse effectively in English and Chinese to handle both English and Chinese speaking customers.

• Must be self-driven and sales orientated.

• You must have a Diploma/Degree in Hotel and F&B Management or equivalent

• You must have at least 1 to 2 years of sales or business development experience in F&B / Catering / Hospitality experience

• You must have a passionate about customer service and sales activities

Benefit:
