Job Summary
To provide support services primarily to the Global Head of Cash Management, through the following:
RESPONSIBILITIES
Strategic Agenda Setting
• Work with the Global Head of Cash Management and Business Manager, to establish and maintain a forward-looking view of business and management deliverables and effectively leverage this information to set key meetings and committee agendas that inform and advance progress.
• Recommend and help facilitate select projects that advance the agenda and effectiveness of their office, working in collaboration with other departments and staff as appropriate.
Calendar Management and Support
• Provide timely and comprehensive support to the Global Head of Cash Management, including regularly performing a wide variety of support duties.
• Managing the calendar, including making appointments, prioritizing the most urgent and sensitive matters, and working with the various parties when conflicts arise
• Organizing meetings, including scheduling, rescheduling, sending reminders, and organizing catering or other special items/requests when necessary.
• Confirm attendance to meetings and to take action where necessary such as cancellation or rescheduling.
• Ensure papers/packs/profile/agenda relevant to meetings are shared in advance.
• Event management and logistical support .
• Keeping the Global Head of Cash Management advised of time-sensitive and priority issues and ensuring appropriate follow-up.
• Manage and coordinate team diaries globally including arranging internal/external meetings and booking meeting rooms when appropriate.
• Assist in the preparation of correspondence, presentations, and reports including ensuring that such documentation is accurate and completed in a timely manner.
• Work with colleagues to ensure efficient management of the team (e.g., in relation to supplies/services) and efficient liaison with other departments.
• Involve and participate in ad-hoc projects as needed, including supporting other departments and senior managers/executives as needed.
Key Responsibilities
Travel Support
• Arrange all travel and accommodation (international/domestic) with Group-approved travel agencies.
• Submit all relevant visas, travel documents for the travellers and mobile travel forms to Technology Procurement team, especially for international travel.
• Create daily itineraries for trips and schedule internal/external meetings.
• Manage and track the processing of business expenses.
• Being the point of contact for internal and external parties relating to the Global Head of Cash Management, to ensure efficient and effective management of business matters/guests.
Record Management
• Draft agendas and meeting minutes and ensure timely dissemination to colleagues.
• Organise and maintain team files and contact databases in line with Group governance policies.
Regulatory & Business Conduct
• Display exemplary conduct and live by the Group’s Values and Code of Conduct.
• Take personal responsibility for embedding the highest standards of ethics, including regulatory and business conduct, across Standard Chartered Bank. This includes understanding and ensuring compliance with, in letter and spirit, all applicable laws, regulations, guidelines and the Group Code of Conduct.
• Effectively and collaboratively identify, escalate, mitigate and resolve risk, conduct and compliance matters.

Our Ideal Candidate
• 12+ years of experience in supporting senior executives in PA roles in a multinational company
• Proven administrative experience in a fast-paced environment
• Working knowledge of MS Word, Excel and PowerPoint, MS Teams
• Exceptional writing, editing and proofreading skills
• Strong communication and interpersonal skills
• Excellent organizational skills and ability to multi-task
• Strong attention to detail.
• Demonstrated problem-solving and decision-making abilities
• Ability to handle sensitive matters with discretion and confidentiality
• Exceptional time management skills and demonstrated ability to meet deadlines
• Proactivity and self-direction
- The candidate needs to ensure high visibility and availability as the senior executive has extensive travel and meeting commitments.
