Key Responsibilities

1. Job Summary

As the Client Engagement Executive at New Hope Community Services, you will play a vital role in driving our mission to bring change into the lives of the displaced and disadvantaged in our community. This position is responsible for overseeing the operational aspects of our shelter / programme, ensuring the safety and well-being of our residents / clients are prioritised. 2. Key Responsibilities

Client Supervision

• Provide administrative and operational support in overall Single Room Shared Facilities (SRSF) Programme operations. Ensure smooth running of SRSF Programme operations and oversee daily SRSF Programme operational issues and statistical collection.
• Handle day-to-day general queries from SRSF Programme residents.
• Assist in the admission and orientation of new SRSF Programme residents.
• Issue warning letters to residents for non-compliance with SRSF Programme regulations.
• Make recommendations for the discharge of residents to the Discharge Committee.

Conflict Management

• Manage moderate to significant disputes that may occur between co-living residents.
• Respond to incidents within rental units, such as de-escalating crisis situations and notify the Management / Housing and Development Board (HDB).

Workplace Safety and Health

• Support in maintaining the security, health, and safety of the SRSF Programme environment and liaise with external parties during emergencies (E.g., CNB, Police, Ambulance, etc.); upon discovery of illegal activities in the SRSF Programme, take immediate measures including notifying the police to stop such activities from continuing.
• Liaise with external parties for maintenance of SRSF Programme premises (E.g., Pest Control, Cleaning Services, etc.)
• Enforce SRSF Programme rules and conduct inspections for compliance with SRSF Programme rules.
• Develop, implement, and improve processes and effectiveness of incident management within the SRSF Programme environment, including adequate training of staff to handle incidents that may occur.

Stakeholder Management

• Responsible for building community partnerships including working with partners from Social Service Agencies, Institutes of Higher Learning Corporations, Statutory Boards, etc.
• Develop and maintain effective relationships with community agencies, corporate partners, as well as individuals.
• Support in community and corporate engagement activities / events for community organisations.
• Support in volunteer activities relating to community and corporate engagement activities / events.

Administrative

• Maintain records of the distribution of rations / assistance to SRSF Programme residents, including an inventory of in-kind donations.
• Ensure collection of SRSF Programme fees by the first week of the month.
• Support the maintenance and update of Operation SOP Manual (including urine test, etc.)
• Collect statistics for monitoring and evaluation of activities and programmes of the SRSF Programme.
• Implement information / data management system for effective collection and maintenance of client and operational data.
• Verify statistical collation and review information management system.

Others

• Any other related duties in New Hope CS as assigned by the Reporting Officer.

3. Volunteer Development

• Establish networks with local community-based services/ resources, such as grassroots, social services, corporate organisations and schools, to engage volunteers to help run or assist in the programmes, start income-generating activities, conduct outreach efforts etc., to match the needs of seniors.
• Recruit, interview and screen potential volunteers.
• Provide and coordinate orientation of volunteers to their assigned role and the mission and objectives of the centre.

Website & Marketing:

• Assist in managing the e-commerce website, ensuring optimal user experience and conversion rates.
• Support the execution of digital marketing campaigns and track performance to optimize results.

Social Media & Content:

• Coordinate social media content and campaigns to boost brand visibility and traffic.
• Analyze and report on social media engagement and content effectiveness.

Data Analysis & Reporting:

• Analyze sales data and performance metrics to provide insights and support strategy improvements.
• Prepare regular reports on sales data, customer trends, campaign outcomes, website traffic, and conversion metrics to track e-commerce performance.

Livestreaming & Content Engagement:

• Assist in planning and participating in livestreaming sessions to promote products and engage customers.
• Track livestream performance and work with the team to optimize future sessions.

Competitor & Market Research:

• Monitor competitor activities and market trends to identify opportunities for optimization and new strategies.
• Assist with market research to stay ahead of the competition and adapt e-commerce strategies accordingly.

Cross-Functional Collaboration:

• Work closely with internal teams (marketing, inventory, customer service) to execute e-commerce and marketing initiatives.
• Contribute to the continuous improvement of e-commerce operations and infrastructure.

Qualifications:

• Education: Bachelor’s degree in Marketing, E-Commerce, Business, or related field.
• Experience: 2-3 years in e-commerce, digital marketing, or online retail.

Key Responsibilities

Administrative Support

• Manage and maintain the executive’s calendar, including scheduling appointments, meetings, and travel arrangements.
• Screen calls, emails, and correspondence, and prioritize them for the executive’s attention.
• Prepare and edit reports, presentations, and other documents as required.
• Organize and maintain the executive's files, ensuring confidentiality and easy retrieval.

Coordination and Communication

• Serve as a liaison between the executive and internal/external stakeholders.
• Coordinate team meetings, prepare agendas, and record minutes.
• Follow up on action items from meetings to ensure timely completion.

Event Planning and Logistics

• Organize and manage events, conferences, and other functions.
• Handle logistics such as venue booking, catering, and travel arrangements for attendees.

Project Management

• Assist with special projects by coordinating resources, monitoring timelines, and updating the executive on progress.
• Conduct research and compile data to support decision-making.

Operational Support

• Monitor and manage budgets, invoices, and expense reports.
• Procure office supplies and equipment as needed.

Qualifications and Skills

Education and Experience

• Bachelor’s degree in Business Administration, Management, or related field (preferred).
• Proven experience as an Executive Assistant or in a similar role (typically 3-5 years).
• Flexibility to work extended hours, including evenings or weekends, if necessary.
• Willingness to travel occasionally for business purposes

Responsibilities:

• Manage daily purchase for Kitchens & Outlet operations (including issuing of Purchase Orders)
• Responsible for the daily operations of the purchasing department including sourcing, evaluation and procurement of supplies
• Request for quotations from suppliers for new/alternate items
• Source for appropriate products and services with the best possible pricing and payment terms by manner of quotations from suppliers
• Check and manage the current supplier’s list for all kind of materials by identifying potential suppliers and conducting vendor visits
• Manage supplier relations for maximum mutual benefits.
• Ensure that all efforts are exhausted in obtaining the best possible quotations.
• Ensure the timely preparation of purchase order so that all approved purchase requests can be ordered and the goods delivered by the suppliers on the date needed.
• Conduct periodic market survey in association with department concerned to determine and/or validate the availability and prices of market goods
• Coordinate and liaise with head of department on all outstanding matters pertaining to quality, reliability of delivery so that the standards set by the hotel are not compromised.
• Keep track of all outstanding purchase orders to ensure that goods are delivered on time, in formalizing a monthly outstanding order report per department.
• Assist to ensure that price comparison among other hotels is done on a regular basis.
• Keep good relationship with user department and suppliers.
• Perform other duties that may be assigned by management from time to time.

Key Job Requirements

• Diploma in Tourism / Hospitality Management or Accountancy
• Minimum of 1 year of experience in a similar capacity with proven track records
