What do we expect from you?

The Event Executive is responsible for supporting the planning, coordination, and execution of events at Mondrian Singapore Duxton. This role requires a proactive approach to client servicing, logistical coordination, and attention to detail. The Event Executive will collaborate with clients and internal teams to ensure the smooth delivery of events that exceed guest expectations.

How your day looks like?

Event Planning & Coordination

• Assist clients in finalizing event requirements, including venue setup, menu selection, and audiovisual needs.

• Prepare event proposals, contracts, and banquet event orders (BEOs) with clear and concise details.

• Liaise with internal teams (catering, banquet, housekeeping, front office) to coordinate event logistics.

Client Relationship Management

• Build and maintain strong relationships with clients, providing personalized service and attention.

• Conduct site inspections and pre-event meetings to ensure all client needs are addressed.

• Handle client inquiries and resolve any issues or concerns promptly.

Event Execution

• Ensure proper setup and execution of events according to client specifications and hotel standards.

• Provide on-site support during events, troubleshooting and managing last-minute adjustments as needed.

• Coordinate with service teams to ensure smooth event flow and guest satisfaction.

Administrative Duties

• Maintain accurate records of event details, contracts, and post-event evaluations.

• Track event budgets and ensure cost control.

• Assist in preparing monthly reports on event performance and revenue.

Business Development Support

• Work closely with the Sales team to identify potential business opportunities.

• Assist in preparing promotional materials for the hotel’s event services.

• Maintain a network of vendors and suppliers to enhance event offerings.

Team Collaboration

• Participate in team meetings and provide updates on ongoing and upcoming events.

• Share feedback and insights to improve event processes and guest experiences.

Requirements

• Education: Diploma or degree in Hospitality, Event Management, or a related field.

• Experience: 1-2 years of experience in event management or hospitality, preferably in a hotel setting.

• Strong organizational and time-management skills.

• Excellent communication and interpersonal abilities.

• Proficiency in event management tools, CRM systems, and MS Office Suite.

• Knowledge of F&B operations, room layouts, and event logistics.

The Event Coordinator will act as the primary liaison between clients and internal departments, ensuring seamless communication and service delivery from inception to execution.

How your day looks like?

Event Planning & Coordination

• Collaborate with clients to understand their event goals, requirements, and budget.

• Develop detailed event plans, timelines, and schedules.

• Coordinate with internal teams (e.g., F&B Team, housekeeping, and front office) to ensure flawless execution.

Client Relationship Management

• Serve as the main point of contact for clients throughout the event lifecycle.

• Conduct site visits, meetings, and consultations to finalize event details.

• Provide personalized recommendations and solutions to enhance client satisfaction.

Logistics Management

• Arrange and oversee event setups, including venue layout, décor, audiovisual, and F&B

services.

• Ensure all equipment and materials are in place and functioning correctly.

• Handle last-minute changes, challenges, or special requests promptly and effectively.

Event Execution

• Supervise the on-site delivery of events, ensuring all client expectations are met or

exceeded.

• Act as the primary contact for troubleshooting during events.

• Monitor guest satisfaction and address any feedback or concerns.

Administrative Duties

• Prepare contracts, proposals, and invoices in collaboration with the Sales/Finance team.

• Maintain accurate event documentation, including client correspondence, contracts, and post-event reports.

• Track and manage event budgets, ensuring cost efficiency.

Business Development Support

• Assist the Events Manager in identifying opportunities to grow the hotel’s event business.

• Participate in marketing efforts, including social media promotions and event showcases.

• Maintain a strong network of suppliers, vendors, and partners.

Requirements

• Education: Diploma or degree in Hospitality Management, Event Management, or a related field.

• Experience: Minimum 1-2 years of experience in event coordination, preferably in a hotel or hospitality setting.

Skills:

• Strong organizational and multitasking abilities.

• Excellent verbal and written communication skills.

• Proficiency in event management software and MS Office Suite.

• Knowledge of banquet operations, catering, and audiovisual setup is a plus.

• Working Location: Bukit Batok
• Working Hours: Monday – Friday, 9 am – 6 pm
• Salary Package: Basic Salary $2,500 - $3,000 + OT + Allowances + Performance Bonus

Key Responsibilities

• Support the event sales team in day-to-day tasks.
• Create documents, reports, and presentations using Microsoft Excel, PowerPoint, and Google Slides.
• Use design tools like Canva and AI platforms such as ChatGPT to enhance event materials.
• Assist in planning and coordinating event logistics.

Requirements:
•Good social media marketing.
•Strong written and verbal communication skills.
•Proficiency in managing various social media platforms.

•Work along with the director and assist in shoots.
•Independent and proactive and able to work with minimum supervision.
