DUTIES AND RESPONSIBILITIES:

JOB SCOPE

Guest Relations Officer will assist the Front Office Manager in providing good customer service to guests and walk in guests.

JOB RESPONSIBILITIES

1. Attend to guests enquiries, complaints and follow up on the complaints made by guests.

2. Assist in attending to guests check in and check out as and when needed when there is a shortage of manpower for the Front Desk Reception Officer.

3. Escort guests to their allocated guest rooms and show them the amenities in the room.

Job Description

• RTOs shall provide standing supervision of all civil and structural works to ensure compliance with the following authorities' requirements:
• The inspection of the bus depot involves the demolition and removal of the existing Pasir Panjang Distripark. Following this, the construction will take place for main depot building, dormitory and administration office.
• Supervise and monitoring of contractors’ work to ensure they are carried out in accordance with the provision in the contract document.
• To monitor the progress and assist Resident Engineer on structural inspection on all Structural works according to the approved drawings issued.
• Reject poor quality of works at site and inform RE to raise non-conformance notice.
• To ensure all building works are carried out in accordance to the design and specifications as specified in the terms of contract.
• Liaise with contractors in the coordination of site work
• Ensure contractors maintain work safety and housekeeping of the site.
• Checking of all drawings, specifications and schedule of works at site.
• Monitor and report progress of the works on site
• Undertake any other duties related to the project assigned.

Job Requirements

• The RTO shall have minimum three (3) years of relevant experience in projects similar in nature to the Works in the Civil Contract.
• All RTO shall have a diploma in the civil discipline or equivalent and be accredited by JAC of IES/ACES as QSS.
• RTOs should also have experience in supervision of installation of monitoring instruments, collation of monitoring data and use of software for presentation of monitoring data for analysis and interpretation.

Work During Office hour

Monday to Friday: 8:30 a.m. to 5:30 p.m.

Saturday: 8:30 a.m. to 12:30 p.m. (Willing to work on rotation shifts)

Sunday and Public Holiday: 00:00 hours onwards or otherwise advised by project officer depending on LTA’s contractor work schedule.

Specific Job Role/Scope:

• Work together as a team at Import Billing section. Generate invoices, resolving customer questions and liaise with account holders on quotation.
• Liaise with Finance department on invoice approval and maintain good communication and teamwork with other departments.
• Accountable to Import Team Leader for the efficient operation of Import Services - Import Billing

Responsibilities and Duties:

• Performing day to day billing operations.
• Checking invoices and its accuracy.
• Sending of E-invoices to customers and overseas agents within deadline.
• Liaise with finance department on recovery matters.
• Submit monthly report.
• Monitor shipments pending for Routine Order advice.
• Attend to enquiries, complaints and request from inter department / within department / customers and overseas agent.
• Attend import monthly meeting.
• Undertake projects / work improvement.
• Assist Manager / Supervisor to enforce operational system/requirements.

Job Requirements:

. Min. 1 year experience in airfreight industry

. Min. 1 year experience in billing

. 5.5 working days (Alternate Saturday)

• Handle staff claims and ensure timely processing
• Perform administrative support for HR duties, including record keeping and documentation
• Conduct new staff orientation to facilitate a smooth onboarding experience
• Maintain and update staff profiles, including annual leave and attendance records
• Manage the annual renewal of corporate licenses and insurance requirements
• Maintain proper filing of documentation and records related to HR activities
• Oversee fixed assets and IT management to ensure compliance and availability
• Be responsible for overall office administration tasks

Qualifications

• Minimum "O" level/Diploma/Degree in Human Resource, Accounting, Administration, or equivalent
• Preferably at least 2 years or more of relevant working experience in a similar role
• Strong organizational and time management skills
• Excellent communication and interpersonal skills
• Proficient in Microsoft Office Suite and HR management software
• Ability to handle sensitive information with confidentiality

- Perform general cleaning to maintain cleanliness

- Manage customer complaints in professional manner

- Manage manpower deployment

- Conduct site inspections to ensure compliance with health and safety standards

- Prepare operations reports and other administrative duties
