This is an operational position within the Asia Centre for Health Security (ACHS). The incumbent will be part of the team to support the core functions of the centre. Their duties would include supporting the administration functions, conducting education and training programs, convening meetings, and secretariat functions.

Duties & Responsibilities
Working under the direction of the Director and Head of Operations at the ACHS, the Senior Executive/Assistant Manager will be part of the team to support the core duties of the centre:
a) Centre Administration
- Support researchers to draft, review, negotiate and execute research agreements by working closely with researchers, collaborators and internal and external legal offices
- Liaise and support the centre's leads and research staff to meet the centre's objectives of the centre
- Administrative support for the running of the centre, including arranging meetings, liaising with third party providers and vendors

c) Collaboration & Partnership
- Liaise and work closely with local, regional and international partners and collaborators, this includes providing support for policy roundtables and panel discussions and the building a network of experienced experts in health security

d) Provide secretariat support for the centre (Faculty Meetings, International Advisory Panel), this includes arranging of meetings, preparation of slides, notes of meeting, communication and dissemination of information, and collation of reports

e) Work closely with other offices in the school, e.g. finance, HR, IT and GHO and university, e.g. OLA, ODPRT, CPO to take forward all administrative tasks, including discussion, collaboration and problem-solving on complex situations

f) Other duties assigned by the Director or Head, Operations

Qualifications

• Applicants are expected to have at least a Bachelor degree from a recognised institution with at least five years of experience in an administrative position within the academic, research or healthcare sector
• Strong administrative skills and experience in supporting projects such as convening meetings, organise training and workshops, service contracts, financial administration, or equivalent experience
• Experience organising events, in-person and online is a requirement
• Excellent written and oral communciation skills, with the ability to summarise content, prepare slides, reports and content

PURPOSE:

To work with internal stakeholders and vendors to develop and implement Global/ Regional Standard Process on business enhancement initiatives to enable new business growth (Business Solution) while maintaining strength in the core business. This entails taking responsibility for project requirement gatherings; establishing To-Be business processes by analyzing as-Is and recommend improvements; work with stakeholders (internal and external) on implementation.

RESPONSIBILITIES & TASKS:

This role will involve designing business enhancement initiatives and work will multiple stakeholders to develop Global/ Regional Standard Process and implementation based on Industry Best Practice. Main responsibilities include:

• Drive process standardization by consulting subject matter expert on business processes as well as technical team on systems.
• Maintain appropriate knowledge on various functional area in Finance such as O2C (Order to Cash), C2B (Contract to Billing), P2P (Procure to Pay) and others master data functional knowledge such as Product Master, Pricing.
• Handle business, project, resources issues proactively and escalate appropriately.
• Work collaboratively in the design and implementation with both internal (functional/ cross functional) and external stakeholders.
• Writing management report, technical and associate documents with the project.
• Perform change management.
• Supervise efficient working staff and provide feedback for employees.
• Perform other related duties and assignment as required by adapting to competing demand, organizational changes, and new responsibilities.

Min Education / Other Technical / Professional Qualification Level:

Good Degree in Business Management/ Engineering/ Science;

Essential and Desired Experience:

• Experience in managing stakeholder expectation with good influencing & negotiating skills.
• Knowledge in the analysis of business requirements and experience in solution design.
• Ability to communicate with all levels of staffs and management team.
• An effective team player who is self-driven, able to work independently within a fast-paced environment under tight deadline and able to manage ambiguity

The role

The Senior Account Manager will be the key project contact with internal teams, clients and other agency partners/vendors, ensuring seamless communication and delivery across all projects. In addition to managing external client work, another key part includes overseeing key internal platform/application projects to drive operational excellence and innovation.

In this role, you will support our Vice President, Commercial for key internal platform and application projects, as well as our Associate Account Director in projects and pitches. Responsibilities include end-to-end project management (pitch-execution-reporting), budget and timeline development, external vendor liaison and nurturing long-term relationships with stakeholders.

To excel in this position, it is of utmost importance that you have a background in platform/application management or Media, alongside Account Management experience in the Marketing/Advertising field.

Essential Duties and Responsibilities

• Lead the execution of internal and external projects independently from end-to-end, managing both internal and external teams to deliver high quality deliverables.
• Support Associate Account Director / Vice President, Commercial in pitches and/or ongoing projects.
• Effectively manage project scope, quality, timeline, budgeting and finance processes from end-to-end.
• Well-versed in platform/application marketing, and a good understanding of managing Media-based accounts.
