THE ROLE

Responsible for ensuring the projects are completed within the restraints of time, quality, and budget by managing schedules, assignments, action plans, gathering necessary resources and communicate progress to team members.

KEY ACCOUNTABILITIES

Responsiilities:

• To check and ensure that all repair orders are timely closed (within 2 week of end control).
• To invoice warranty claims within the submission timeline
• To process all warranty claims and check for accuracy before send for validation.
• Prepare invoice does not process report to avoid claim submission time exceeded.
• Bi-daily repair order collection from Service Dept and cross checked with Customer Service Advisor(CSA) hand over list to avoid any missing CSA Repair Order (RO) by email.
• To follow up Repair Order and ensure that both CSAs and Workshop foremen submit all RO on time. Communicate with them directly to understand their needs.
• To follow up warranty enquiries by CSAs and workshop personnel.
• Verify the accuracy of goodwill requisition by CSA
• Repair Order Sorting and Preparation for scanning after claims was submitted completely with warranty ParaDM checklist.
• Weekly follow up, update related departments on all outstanding repair order and purchase order status or any approval required.
• To perform other duties as and when required by Immediate Superiors or Service Manager.
• To provide documents during Warranty Dept. External and Internal Audit.
• To back up Warranty Executive on BSI/BRI Extended Warranty Administration, Technical Campaign request and GDMS support from inter department.

Job Description

• Responsible for documenting purchasing activities, including maintaining the purchasing database and ensuring the accurate matching and submission of Purchase Orders (PO), Delivery Notes (DN), and Invoices to the Finance department.
• Gather entries in the purchasing system and manages the creation, maintenance, and updating of master data for suppliers, services, and materials.
• Negotiates quantities, prices, delivery times, terms and conditions, and contractual terms for effective procurement processes.
• Identifyand capitalizes on opportunities for cost savings.
• Co-ordinate, update on stock arrival and monitoring shipment arrival on time
• Work closely with operations to forecast order requirements and plan inventory levels based on past records, demand and supply for replenishment of stocks and indent orders
• Work closely with operations to ensure smooth flow of goods deliveries
• Work with suppliers to ensure stock are received satisfactorily, process claims for items which are defective and has quantity/quality discrepancies
• Ensure purchase cost target for project is achieved and conduct vendor assessment

Job Requirement

• Possess at least a Diploma in Supply Chain/Procurement or equivalent
• At least 2 years' of procurement experiences in F&B industry
• Strong written and oral communications skills in Chinese/Mandarin to liaise with international teams of Mandarin-speaking background
• Ability to work with cross-cultural/function teams and groups internationally
• Proficient in creating reports using Vlookup and pivot table
