Job Description & Requirements

The Purchasing Team are responsible for the sourcing and selection of suitable, cost effective and reliable suppliers of aircraft components and business services, able to meet the business requirements.

The Purchasing Executive role will support business inventory requirements, internal and external customers with responsibilities associated with both tactical and strategic purchasing of aircraft components and business services. Ensuring quality is in line with business objectives & policy, on time delivery and contract adherence whilst minimalizing costs. All functions to focus on stock availability, reducing costs and customer satisfaction.

Responsibilities:

• Manage customers' orders and enquiries and follow through to order fulfilment.
• Purchase inventory of stock and specific customer requirements
• Management of daily tactical and strategic work to ensure timely responses in sourcing and purchasing components to maintain optimum inventory levels and support internal and external customer requirement.
• Purchase non-stock items and commercial buys, both on standing orders and for specific requirements.
• Evaluate and recommend suppliers to quality and industry approved standards.
• Work with existing and potential suppliers, securing best price through effective negotiations and collaboration to achieve business objectives.
• Co-ordinate with internal department to ensure PO compliance.
• Expedite open orders to achieve on time delivery.
• Assist with department training and interdepartmental training of new staff.
• Assist with monitoring Purchasing Administrator performance using KPI’s and regular meetings.
• Obtain warranty return approvals and liaise with internal departments on rejected units.
• Organize supplier meetings including occasional travel to supplier sites targeting poor performing suppliers.
• Develop, produce & analyse reports supporting and improving departmental KPI’s.
• Identify, monitor and liaise with non-performing Suppliers.
• Monitor improvement measures with non-performing suppliers.
• Support the Asset Manager to undertake other duties /projects as required.
• Understand and adhere to Export Control regulations where relevant.
• Handle customers' enquiries on spare parts.
• Monitor orders and liaise with QA, Logistics and Technical Departments to ensure timely delivery to customers.
• Process sales order using SAP system.
• Any other duties as requested.

Requirements:

• At least 2 years purchasing experience, preferably in sheet metal fabrication or aviation industry.
• Prior experience in spare parts sales in aviation industry will be advantageous.
• Ability to read and understand basic engineering drawings will be advantageous.
• Attentive to details, well organised and customer service oriented
• A team player who can multitask well to meet deadlines and requirements.
• Ability to exercise sound judgement at work and preserve confidentiality.
• Proficient in Microsoft Office, 365
• Strong knowledge of SAP with MM module is an added advantage.
• Proven related experience.

Responsibilities:

• Prequalification, sourcing, selection, negotiation and evaluation of vendors for best purchase price while maintaining the highest level of quality, reliability and service
• Originate, negotiate, finalize and maintain category contracts and agreements and ensure that vendor contracts are managed in line with the specifications of the Procurement Policies and principles, in order to develop sustainable partnerships with vendors
• Ensure users obtain the best value in pricing, service quality, technology, delivery and safety competency
• Regular vendor evaluation, vendor scorecard management and audits
• Responsible for Buyer’s scope and Oracle Cloud System (OCS) key user
• Vet commercial terms and conditions (T&Cs)
• Ensure T&C are favorable and in compliance with Vopak standards and policies
• Identify opportunities for cost reduction to reduce total cost of ownership for all related Opex and Capex spend
• Involvement in continuous improvement to improve Procurement Process, Department’s Competence and Information Management
• Implement category strategies to drive cost savings, growth and minimizing supply chain risk
• Lead in coordination and implementation of all related sustaining, improvement and SHE related Capex projects
• Consolidate and Manage internal spend and vendor base
• Understand sourcing requirements, develop strategy and plan for category spend and vendor base
• Manage percentage savings for identified Influenceable Opex spend, for all related sustaining, improvement and Capex spend
• Manage increase in spend influence and spend under framework contract
• Ensure consolidation and reporting of such spend and potential savings for management reporting

Requirements:

• Degree in Supply Chain/Business/Engineering or related studies
• At least 5 years of relevant Buyer’s scope, Contract Management, Supply Management and Negotiation, preferably in a similar industry, and at least 3 years’ experience in procurement, sales, business development, project management, plant operations, or product supply
• Strong commercial awareness and experience of Contract Law
• Proven experience in contract negotiations & vendor management
• Strong negotiation and communication skills
• Analytical and decisive with high initiative
• A quick-learner, a good team player as well as possess the aptitude to work well independently

Job Summary: The Procurement Executive is responsible for managing the end-to-end procurement process, including sourcing, negotiating, and purchasing goods and services to meet the organization’s needs. You will be handling procurement for both Singapore and Germany entity.

Key Responsibilities:

1. Supplier Sourcing & Management:

• Identify and select suppliers/vendors based on quality, cost, and reliability.
• Negotiate terms and conditions, including prices, delivery schedules, and payment terms.
• Develop and maintain strong relationships with suppliers to ensure quality and on-time delivery.

2. Procurement Planning & Strategy:

• Collaborate with departments to determine procurement needs and develop a strategic plan.
• Forecast demand and ensure stock levels meet organizational requirements.
• Prepare and monitor procurement budgets to ensure cost efficiency.

3. Purchase Order Management:

• Prepare and process purchase orders for goods and services.
• Track order status and ensure timely delivery of products or services.
• Manage vendor invoices and ensure accurate processing and payment.

4. Market Research & Cost Control:

• Conduct market research to identify new suppliers and market trends.
• Monitor and analyze market conditions to ensure competitive pricing and cost savings.

5. Compliance & Reporting:

• Ensure all procurement activities comply with company policies and legal regulations.
• Maintain accurate records and reports related to procurement activities, including supplier performance.

6. Team Collaboration:

• Work closely with other departments (e.g., Finance, Logistics, and Operations) to align procurement with company needs.
• Train and supervise procurement assistants and junior team members.

Qualification & Experience:

Degree, Diploma or equivalent Min 2 years’ experience. Good communication skills with the ability to collaborate effectively across teams and with peers. Detail-oriented, adept at multitasking and managing priorities to meet tight deadlines.

Job Summary: The Procurement Assistant supports the procurement team by handling administrative tasks related to purchasing activities. This includes preparing documents, maintaining records, assisting in supplier communication, and ensuring smooth procurement operations.

Key Responsibilities:

1. Administrative Support:

• Assist in the preparation and issuance of purchase orders.
• Maintain accurate and up-to-date records of procurement transactions, including invoices, purchase orders, and contracts.
• Assist in filing and organizing procurement-related documents.

2. Supplier Communication:

• Communicate with suppliers to follow up on orders, delivery schedules, and resolve any issues.
• Maintain a database of suppliers and their contact details for easy access.

3. Purchase Order Tracking:

• Monitor the status of purchase orders and ensure timely delivery.
• Update the procurement team on delivery status and inventory needs.

4. Data Entry & Reporting:

• Enter procurement data into procurement software or spreadsheets.
• Prepare basic procurement reports on order status, expenses, and vendor performance.

5. Cost Control & Inventory Management:

• Track inventory levels and ensure timely reordering of supplies.
• Assist in identifying cost-saving opportunities by comparing supplier quotes.

6. Compliance & Documentation:

• Ensure all documentation is accurate and compliant with company policies.
• Assist in maintaining records for audit purposes and ensure compliance with procurement regulations.

7. Support to Procurement Team:

• Provide general administrative support to the Procurement Executive and team.
• Assist with supplier negotiations and documentation preparation as required.

Qualification & Experience

• Diploma or equivalent Min 1-2 years’ experience.
• Able to work effectively with peers and other function teams.
• Detail-oriented, able to multi-task and prioritize tasks with strict deadlines.

Responsibilities:

· Deliver top-notched technical solutions to clients and take responsibility for the standards of work with client centric mindset.

· Take responsibility for a portion of an installation, break/fix incidents, and problem management.

· Learn to utilize automated mediums to perform staging, pre-loading configurations, and onsite deployment, ultimately enhancing proficiency in automation.

· Work together and collaborate with the Implementation Engineering team to fulfil client requirements

· Attend less complex configurations, installations, and break/fix events.

· Analyse security-related information and events, escalation of incidents for validation and remediation

· Flexible working hours may include occasional overtime or shifts outside of traditional business hours

· Design and implement firewall solutions such as Palo, Checkpoint, Fortinet or Cisco.

Requirements:

· Bachelor’s Degree, preferably in Computer Science, Information Technology or related field

· At least than 3 years of working experience

· Strong in interpersonal skills

· Has excellent verbal/written communication and presentation skills

· Ability to prioritize work independently and work under pressure to meet deadlines

· Team player, resourcefulness, strong analytical skills is an advantage
