The Procurement Specialist is responsible for delivering high-quality purchasing services on a day-to-day basis according to defined procedures, respecting quantity, quality and timing. This person ensures quality of services provided and contributes to improvement and knowledge management of purchasing processes.

Responsibilities

· Execute the Purchase Order (PO) management workflow starting from PO creation, issuance, monitoring, coordination with suppliers and internal stakeholders.

· Driving business outcomes with tracking the status of POs, identify and react on immediate shortage to ensure timely delivery.

· Ensure that a PO is created and maintained correctly (prices, currencies, quantity, delivery dates etc.), and follow up on any issues related to PO creation.

· Use SAP to perform tasks related to PO execution and maintenance, exception messages, track demand and supply situation,nonconformance management, return to vendor (RTV) process, payment issues and procurement key metrics reporting.

· Manage day-to-day interactions with suppliers, Procurement Specialists in hub, planners and other Supply Chain functions, i.e. Sourcing and Supplier Leaders.

· Collaborate with internal departments to understand their requirements for goods and services.

· Apply end-to-end supply chain process knowledge in daily tasks to deliver results effectively in the wider organization.

· Perform problem solving and sound decision-making for issues with users.

· Escalate complex issues to the Supply Chain Lead.

· Support Sourcing team in Parts and Process Qualification process for First Article (FA) PO execution.

· Generate and analyze procurement reports to uncover insights and deliver impactful updates to internal teams, enabling informed decision making by stakeholders.

· Track deviations and raise nonconformances in QUEST.

· Propose documentation changes and process improvements when required.

· Participate in continuous improvement projects.

· Use all required procurement tools when required or mandated by process (Ariba, ASL, QUEST, Global Traceability portal).

· Ensuring compliance with regulatory requirements, company policies, and sustainable/ethical standards in procurement activities.

Key Responsibilities:

Procurement Process Management:

● Raise Purchase Orders (POs) based on business needs, ensuring timely procurement of goods and services. Collaborate closely with suppliers to guarantee on-time delivery of high-quality products.

● Oversee day-to-day receiving and verification of physical goods upon delivery to ensure items match orders in terms of quantity and quality.

● Generate and process ad-hoc supplier invoices in the procurement system.

● Maintain accurate and comprehensive records of all procurement activities, including creation and amendments of Purchase Orders (POs), verification, and closing of invoices.

Supplier Relationship & Negotiation:

● Source, evaluate, and onboard new suppliers, focusing on optimizing cost-effectiveness, quality, and lead times.

● Negotiate pricing, payment terms, and contracts to ensure favorable terms for the company.

● Regularly review supplier performance and manage supplier database, keeping track of key information like product offerings, pricing, lead times, and contracts.

Inventory & Warehouse Management:

● Maintain updated records of inventory, particularly packaging materials and event supplies.

● Liaise with the operations team to anticipate inventory needs for upcoming events and ensure sufficient stock levels are maintained.

Systems & Process Improvement:

● Continuously update the market list and other procurement tools to streamline ordering processes and improve efficiency.

● Contribute to process improvement initiatives, identifying opportunities to reduce costs or improve service levels with suppliers.

Financial Coordination & Documentation:

● Perform monthly PO reconciliation (SOA) to ensure all orders are accounted for and closed properly.

● Work closely with the finance team to ensure timely supplier payments, matching invoices with POs and delivery notes.

● Follow up with suppliers on any outstanding credit notes, discrepancies, or payment adjustments.

Ad-Hoc Duties:

● Provide support for cross-functional teams, especially during peak business periods.

● Assist with any procurement-related tasks required by other departments.

Requirements:

● Diploma in Business, Supply Chain Management, Procurement, or a related field.

● Possess 2-3 years of working experience in relevant fields (Catering or F&B)

● Detail oriented and organized.

● Excellent communication and interpersonal skills.
